Our Client, a Power And Energy company, is looking for a HR Associate for their St. Louis, MO/Hybrid location.
Responsibilities- The HR Associate (HRA) on the Talent Enablement & Recruitment (TE&R) team plays an essential role in creating a superior candidate experience alongside our Recruiters, Workforce Development team and hiring teams.
- The core function of the HRA is providing administrative support associated with specified tasks in the full-cycle hiring process for external candidates.
- This includes providing efficient and accurate scheduling support and consistent, professional communication and follow up.
- The HRA represents the Client Recruiting organization to all partners, stakeholders, and candidates, focusing on delivering exceptional customer service and consistent, high-quality work.
- Provide scheduling support for pre-employment testing and interviews.
- Manage calendar conflicts and all follow up communication.
- Initiate, monitor and report background check and drug test results ensuring timeliness of delivery.
- Review for red flags and elevate to Recruiter and Recruitment Managers as necessary.
- Ensure data accuracy for all information housed in recruiting systems.
- Facilitate an excellent pre-boarding and onboarding candidate experience by:
- Providing clear communication to Hiring Leaders to educate them on their role in a successful onboarding experience
- Deliver clear communication and support to the new co-worker on items needed to onboard with Client.
- Coordinate with Digital team to ensure accurate equipment delivery and provisioning
- Focus on compliance in processing of I9 and record retention
- Foster exceptional partnerships with recruiters, hiring teams, other HRAs and cross functional partners, prioritizing timely follow-up and follow-through, thoroughness in work product and attention to detail. Execute high quality work that addresses the needs of those partnerships.
- Effectively handle sensitive/confidential information
- Directed high-volume talent acquisition operations across 7 northeastern U.S. states by hiring over 1,700 educators, nurses, custodians, and administrators, showcasing HR management experience.
- Managed onboarding pipelines for 220+ school districts, ensuring compliance with federal, state, and district-specific hiring requirements and aligning with HR best practices.
- Validated criminal backgrounds, credentials, and health documents using HRIS and CRM platforms, demonstrating proficiency in HR systems and databases.
- Coordinated remote interviews, onboarding meetings, and trainings via Microsoft Teams, Zoom, and Calendly to streamline recruitment and integration processes.
- Handled over 100+ emails and multiple calls daily, illustrating strong remote communication skills and effective time management under high-volume activity.
- Served as the primary liaison between surgical sales teams, healthcare providers, and internal support teams, demonstrating excellent communication and interpersonal skills to enhance service delivery and customer satisfaction.
- Processed orders, addressed product inquiries, and coordinated scheduling support and logistics for surgical products across multiple regions, ensuring efficiency and adherence to privacy standards.
- Utilized CRM and ERP systems to accurately maintain customer profiles, order history, and service records with precision and confidentiality (HIPAA-compliant), underscoring data management proficiency.
- Collaborated with clinical and sales teams to resolve escalated issues and support field operations, significantly improving response times and operational effectiveness.
- Led process improvement initiatives by implementing new scheduling systems and refining communication protocols, evidencing strong team management and leadership skills.
- High School diploma or equivalent required.
- 3+ years of applicable experience in high volume administrative support role required.
- OR Bachelor's degree in Business or related field accepted in lieu of 3 years work experience.
- Proficiency in Microsoft Office Suite, specifically in Microsoft Outlook required.
- Strong work ethic and organizational skills with the ability to balance competing priorities. Excellent verbal communication with exceptional written communication skills.
