The Institut National De Recherche Pour L'agriculture, L'alimentation Et L'environnement (INRAE) is a public research institution that brings together a community of 12,000 people, with 272 research, service, and experimental units, located in 18 centers across France. INRAE is among the top global leaders in agricultural and food sciences, plant and animal sciences. Its research aims to build solutions for multi-performing agriculture, quality food, and sustainable management of resources and ecosystems.

You will work within the Mixed Research Unit on Herbivores (UMRH), whose main mission is to produce, integrate, and disseminate knowledge and share expertise to design multi-performing herbivore farming systems, capable of responding to global challenges (environmental, socio-economic, and digital transition).

The Unit brings together 118 permanent staff and hosts around 70 non-permanent agents each year. It is organized into 4 research teams, a management team, and a support team. You will be integrated into the DINAMIC team – Digestion, Nutrition, Aliments, Metabolism, Microbes.

Each year, the Unit conducts around 30 experiments as part of research projects. During these works, numerous biological samples are collected from different matrices (foods, digestion residues, plasma, milk, tissues, etc.). The number of samples can exceed 5,000 per year. Before laboratory analysis, they are stored in various forms (dried, lyophilized, frozen) at different temperatures (ambient, +4°C,
-20°C,
-80°C,
-196°C) in different devices (cold room, cryo-conservator, etc.) and storage sites.

Efficient management of these stocks is essential to quickly find each sample and ensure traceability of its packaging. Until August 2025, the inventory was scattered in several Excel files: a list of samples by experiment and a list of boxes/cases present in each enclosure according to the storage temperature.

To secure management and obtain a global view of all produced and stored samples, the Quality Group of the Unit has chosen to use Collec-Science, an internally developed tool by INRAE. After a test phase conducted during a Master 1 QHS internship, the tool has been operational since September 2025 and already allows the management of new sample batches. It now remains to transfer the information of previous experiments (currently in Excel) to this tool, in order to harmonize traceability and improve the efficiency of monitoring.

You will be particularly in charge of:

• Migration of inventories:
• analysis and validation of existing Excel inventories (verification of the consistency of identifiers, metadata, and storage thresholds);
• intervention in the 3 research teams concerned to collect missing information and ensure data uniformity;
• printing and placing labels in accordance with the specifications of the Quality service (QR codes, sample references, storage conditions);
• complete import of Excel files into the Collec Science UMRH database: use of import modules, post-import control (error report, adjustments).
• Documentation and improvement of procedures:
• writing or revising sample management procedures (collection, storage, monitoring, and destruction flows);
• elaboration of a detailed user instruction detailing the import steps, label creation, and monitoring update.
• Project follow-up:
• participation in weekly follow-up meetings with the Quality Group and the research teams' representatives;
• production of summary meeting reports (progress, encountered difficulties, corrective actions).

Special working conditions: work in cold rooms and in attics (exposure to dust, ambient conditions related to climate).

Training and skills required:

Minimum Education: BAC

Recommended Training: BTS Bio quality.

Knowledge in biology, quality, and computer science are desired.

Experience in research laboratory is appreciated.

Autonomy, contact skills, and good communication.
