Mitchell Hamline School of Law is seeking to hire a full-time Accounts Payable Specialist. This position is responsible for timely and accurate processing of vendor invoices for payment, daily deposit of all cash receipts, preparation, reconciliation and posting of monthly purchasing card transactions, preparation and posting of journal entries for miscellaneous cash disbursements and other entries as requested, monthly billing of off campus work study and maintenance of Petty Cash box.
On occasion, this position also serves as a backup for other staff in the Finance office.
- Execute bi-monthly cash disbursements according to payment schedules.
- Process and post vendor invoices end to end, ensuring accurate documentation, approvals, GL coding, and timely entry using the AP module in ERP system.
- Research and resolve vendor discrepancies. Identifying, tracking and resolving payment issues, including the collection or incomplete or missing information.
- Serve as a subject matter expert for Accounts Payable, providing guidance on AP processes, resolving complex issues, and supporting internal stakeholders and vendors.
- Coordinate month end and year end activities with Controller to close A/P in a timely manner.
- Process necessary 1099s and submit to IRS in an accurate and timely manner.
- Issue Resolution - resolve payment issues with department as per policy and government guidelines.
- Review department backup – ability to quickly identify appropriate business reasons, receipts, and backup information to make decisions on payment processing.
- Answer verbal and written faculty, staff, student and vendor questions and requests, both timely and professionally.
- Monitor and review all purchase-card transactions to ensure compliance with School policy, GAAP, and IRS policies.
- Ensure identification, tracking and resolution of issues or missing information, including review of business purpose, receipts, and accounting codes.

- Proficiency with Microsoft Office applications and the capacity to learn new systems.
- Associate's degree in accounting or three years of accounts payable experience.
- Experience with Jenzabar ERP.
- Experience working in higher education or another complex organizational environment.
The anticipated pay range for this position is $22.00 - $26.00 hourly, depending on qualifications and experience.
