DESCRIPTION
Shoreview, Minnesota, a premier city in the north metro area of the twin cities, is seeking a skilled and motivated executive assistant to support the city manager, assistant city manager, and city council. This position is responsible for a variety of high-level administrative functions and serves as a key liaison between the city manager's office and other city departments, elected officials, outside agencies, and the general public.
This position requires strong organizational and customer service skills to be successful.
DUTIES INCLUDE
- Applies strong organizational skills to support the timely flow of information and appropriate follow-up on a wide variety of daily tasks and special projects that originate from the city manager's and assistant city manager's office.
- Provides administrative and technical support to the city manager, assistant city manager, and city council with a high degree of accuracy and efficiency.
- Assists the city manager in email correspondence; coordinates the calendar of the city manager and assistant city manager.
- Drafts, types, edits, and proofreads a variety of documents for the city manager, assistant city manager, and city council, including general correspondence, reports, presentations, and memoranda.
- Performs a wide range of clerical functions such as filing, drafting documents, copying, answering phones and email.
- Manage copy rooms and break rooms including ordering or coordinating supplies and organization; manage council chambers calendar and setup/tear down for a variety of meetings; assists in covering the front desk.
- Maintain records on various databases, enter invoices for the administration department.
- Coordinates special events on behalf of the city manager, assistant city manager, and city council.
- Performs other related duties as assigned.
Note: This position requires regular and reliable attendance, the ability to concentrate and manage multiple priorities with frequent interruptions, strong written and verbal communication skills, strong customer service skills, and the ability to work well with others.
QUALIFICATIONS
Minimum Qualifications:
- High school diploma or GED equivalent.
- At least 2.5 years of paid experience working in a professional office environment or a related administrative support role.
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Valid, unrestricted driver's license and satisfactory motor vehicle report.
- An equivalent combination of education and experience may be considered in meeting these qualifications.
- Associate's degree or some college coursework in business administration, public administration, office management, or a related field.
- Experience working in city or county government setting.
- Experience in Google Workspace.
- Additional education and professional certifications as it relates to the position.
- Ability to read and interpret documents.
- Ability to write routine reports and simple correspondence.
- Strong customer skills with an ability to speak effectively and interact positively with city council, staff, residents, and business owners.
- High level of proficiency with computers and related systems.
- Ability to perform duties with awareness of applicable local government laws and rules.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Extremely proficient with Microsoft Office Suite, Google Workspace, or similar software with the ability to learn new or updated software.
- Ability to draft and edit professional correspondence and documents.
Hours: 8:00 am - 4:30 pm, Monday through Friday
This position offers a supportive and flexible work arrangement, subject to supervisor approval.
Hiring Wage Range: $27.17 - $29.95 per hour depending on experience, plus excellent benefits.
(2026 full wage range: $27.17 - $36.27 per hour)
