Role DescriptionWe are seeking a highly organized Executive Assistant to perform a variety of administrative tasks in support of the Managing Partner and firm operations. Responsibilities include calendar management, project prioritization, and inbox management. To be successful in this role, you should be well-organized, possess strong time management and communication skills, and be comfortable working independently.
Ultimately, you will contribute to the firm's efficiency and success by providing personalized, timely support to the Managing Partner and firm clients.
This is a hybrid position (3 days in-office).
Responsibilities- Serve as primary point of contact between the Managing Partner and employees, clients, and external partners
- Manage the Managing Partner’s email inbox and calendar, including prioritizing communications and scheduling
- Coordinate information flow to ensure timely and accurate communication across internal and external stakeholders
- Assist with updates and task tracking in project management system ()
- Prepare, edit, and distribute internal and external communications and documents (e.g., client updates, invitations, internal memos, occasional legal documents)
- Collaborate with the administrative team to support general firm operations as needed
- Organize and maintain the firm’s cloud-based file storage and CRM systems
- Work experience as an Executive Assistant, Personal Assistant, or similar role
- Outstanding organizational and time management skills
- Strong proficiency in MS Office, Adobe, and common business software platforms
- Demonstrated ability to quickly learn and adapt to new software tools and systems (including AI-enabled platforms)
- Excellent verbal and written communication skills
- Background in a legal or high‑growth business setting preferred
- Dependable — more reliable than spontaneous (but creative is a plus)
- People-oriented — enjoys interacting with teammates and clients and working on group projects
- Proactive — anticipates needs, flags issues early, and takes action to keep priorities on track
