Front Desk Administrative Coordinator

The Front Desk Administrative Coordinator is based at Corporate Headquarters in St. Paul, MN and is the first point of contact for visitors and employees. This individual will provide exceptional customer service while efficiently managing front desk operations and supporting office operations. The Administrative Coordinator will also provide support to assigned departments.

Key Responsibilities
  • Greet visitors and answer phone calls professionally and efficiently during standard business hours from 8:00 a.m. to 4:30 p.m.
  • Provide administrative support to assigned senior leaders, including calendar management, domestic and international travel support, and expense report processing.
  • Help the Accounting, Human Resources, and Supply Chain teams as directed.
  • Receive Fed Ex/UPS/USPS deliveries and prepare outgoing packages, sort and distribute incoming mail, and prepare outgoing mail.
  • Provide support for office tasks and employee events as needed, including distribution of birthday cards to corporate staff.
  • Assist with the day-to-day operations of the corporate office, including restocking supplies and beverage stations and ordering lunches as needed.
  • Ensure the reception area and conferences rooms are clean and organized.
Qualifications
  • 1-3 years of prior customer service, administrative and front-desk experience in a professional office setting
  • Highly dependable with attendance, follow-through, and efficiency
  • Ability to multi-task with attention to detail in a fast-paced environment
  • Demonstrated strong customer service skills, ability to proactively communicate with internal colleagues and external parties
  • Strong computer skills including MS Office, MS Teams, Concur, SharePoint, Zoom meetings, etc.
  • Strong organization and prioritization skills
