Job Summary

The Minnesota Department of Natural Resources (DNR) is seeking to fill one (1) full-time Office & Administrative Specialist Principal position in St. Paul, MN. The working hours are 8:00am to 4:30pm Monday-Friday.
This position provides administrative assistance, project management work and organization to the division of Parks and Trails, Visitor Services and Outreach, and Statewide Programs and Planning section managers.
Responsibilities include, but are not limited to:
- Provide effective administrative support services to the Division of Parks and Trails, Visitor Services, Outreach and Statewide Programs, and the Planning section managers.
- Transcribe and prepare correspondence, reports, and data-driven documents for managers and professional staff.
- Format and proofread correspondence.
- Maintain section managers' files.
- Strategic calendar management, including prioritizing meeting requests and proactively identifying and resolving scheduling conflicts.
- Assist in tracking of budgeted projects and expenditures.
- Make travel arrangements and complete expense reports.
- Anticipate the need for materials and travel associated with briefings, meetings, and other events, ensuring those needs are met in a timely manner.
- Track review and signature items and their due dates to help ensure timely completion.
- Contributing to the overall function of the Visitor Services and Outreach and Statewide Program and Planning sections through support and assistance with implementation of section programs.
This position has a flexible work arrangement and may be eligible to telework on a part-time basis which is subject to change. If approved, the employee would be required to complete an annual telework agreement.
Qualifications Minimum Qualifications- Knowledge of accounting principles and practices sufficient to analyze, interpret, and prepare financial information, records, and reports.
- Knowledge of communication sufficient to write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction.
- Skill in developing and implementing administrative and program policies, procedures, and service standards in cooperation with management.
- Skill in customer service sufficient to provide prompt and accurate information to customers in person, on the phone, and through email and other written or electronic correspondence.
- Skill in document and records management sufficient to accurately file and categorize electronic documents.
- Skill in using spreadsheets applications, such as Microsoft Excel or Google Sheets to enter, compile, store, and retrieve data.
- Skill in word processing sufficient to prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors.
- Two years of experience providing administrative support to executives and senior management.
- Experience providing executive support at a state agency.
- Experience working with public agency partners, stakeholders, and members of the public.
- Experience with records management, accounting principles and practices, and fiscal control procedures.
