Job SummaryThis positing will be used to fill two (2) vacancies.
This position exists to provide administrative support to MSRS staff working in a hybrid environment who work both in on-site and remote locations. This position also serves as the receptionist for the Minnesota State Retirement System (MSRS) St. Paul office, coordinating individual participant appointment requests for the St. Paul office and field offices, as well as preparing all outbound mail and providing support for other mailing projects.
This role will also provide administrative support to a number of retirement services teams and staff.
The following qualifications are required of all applicants seekingconsiderationforthis position:
- Demonstrated customer service skills in person, by phone, and via email, providing prompt, courteous, and accurate information to participants, staff, and vendors.
- Proficient at organizing materials and multiple tasks to meet deadlines in a busy work environment.
- Strong written and verbal communication skills with the ability to interpret and convey information clearly.
- Proficiency with Microsoft Office (Word, Excel, Outlook), and other office technologies such as Zoom, data entry systems, and CRM platforms.
- Experience with scheduling appointments and managing calendars for multiple individuals and offices.
- Ability to enter confidential data quickly and accurately with strong attention to detail and knowledge of data privacy laws.
- Demonstrate the ability to use critical thinking and problem-solving skills while working independently with limited direct supervision.
- Ability to move mail containers up to 40 pounds.
The following qualifications are desired but not required:
- Two or more years of experience in a receptionist, administrative support, or customer service role.
- Experience coordinating schedules, managing calendars, and supporting multiple staff members or offices.
- Experience handling incoming and outgoing mail services (e.g., USPS, UPS, Fed Ex) and/or working in financial services, banking, retirement, or a related regulated environment.
