Job Summary

Under limited supervision, this position directs, prioritizes, and guides department work activities to provide administrative support of the agency’s benefit application processing and technology resources that receive, store, track, search, retrieve, and utilize data necessary for the management of all member account records. The incumbent applies expert knowledge to resolve both routine and complex situations and develop procedures and guidelines that control the activities of PERA’s Document Management Services (DMS) team.

Collects, analyzes, and reports program activity data, develops budget requests, and implements process changes or actions to improve data integrity.

Scheduled in‑office workdays will be at PERA’s office at 60 Empire Drive, Suite 200, St. Paul, Minnesota 55103.

Qualifications

Minimum Qualifications
  • Demonstrated lead work skills, including the ability to assign, guide and direct the work activities of the Copy File Review unit to meet established goals.
  • Customer service skills to answer questions, advise customers and explain rules, regulations, policies and procedures in a clear, concise, and professional manner to both internal and external customers.
  • Skill working with Microsoft Office applications such as Teams, Outlook, SharePoint, Word, etc.
  • Ability to ensure compliance and security in data management, including data requests, collection, retention, and destruction.
  • Skill in using spreadsheet applications, such as Microsoft Excel or Google Sheets to enter, compile, store, and retrieve data.
Preferred Qualifications
  • Two (2) years’ experience in an administrative support position in member refunds and retirement benefits applications.
  • Experience in providing lead work for department staff in planning, coordinating, and directing activities.
  • Experience maintaining confidentiality of data and information in accordance with the Minnesota Government Data Practices Act.
  • Commitment to a respectful, inclusive, and diverse work environment.
  • Experience with mailroom procedures and processing.
  • Ability to communicate effectively with individuals with a wide range of backgrounds, who do not share your same culture, ethnicity, language, or other common experiences.
