The Environmental Services department herine University invites applications for a full-time Facilities Administrative Assistant position.
This Role is primarily customer service, triage and administrative support to Facilities managers. This person will often be the only one in the office, while managers are out on campus assessing and solving problems in our community. This person must be able to prioritize incoming calls and work orders, determining urgency or elevation to the supervisor. This person is responsible for collecting needed details and communicating information from customer to the right facilities area and sharing if this is urgent and a work order needs to be filled out and a call needs to be made to the supervisor or one of the managers.
This person would need to learn university policies and processes for access, parking, invoicing.
* Opening the Facilities Management Office consistently each weekday, ideal start time 8 or 8:30
* Working extensively on the computer (primarily in the Google Suite) daily
* May be asked to carry a St Kate's work phone during busy summer months
* Fielding a variety of space and facilities requests and incident reports via electronic work order, email, telephone, and in-person
* Initial work order triage as supervised and instructed by the Facilities Project Supervisor
* Greeting vendors and external contractors and assisting with campus parking and way finding
* Scheduling appointments, logistics work, and other operations with multiple campus groups, departments, and external vendors
* Making supply orders
* Support entire Facilities team to process invoices, keep track of capital project accounting and track purchase orders
* Work in collaboration with other university offices including but not limited to Accounts Payable, Purchasing, Payroll, Human Resources, DPS, Housing Operations and Residence Life
* Updating work tracking spreadsheets, schedules, supply lists, and other electronic and physical records
* Maintaining uniform inventory for trades and support staff
* Scheduling vehicle maintenance and repair appointments as well as transporting vehicles to service stations
* Assisting the Facilities Projects Supervisor with project planning and timelines
* Support the Facilities Projects Supervisor with fleet management
* Occasional physical labor as needed to support facilities operations
Minimum Qualifications
* High school diploma or GED
* Two years of full-time, professional work experience that includes experience serving customers with a helpful manner and respectfully striving to find acceptable solutions when issues arise.
* Experience successfully collaborating with co-workers to ensure that a team or department is well represented and builds trust and respect with customers.
* Proficiency with Microsoft Office and Google suite of products.
* Valid driver's license
Preferred Qualifications
* Four years of full-time, professional work experience
* Customer service experience
* Fluency or competency in a language other than English
* Ability to manage timelines in a budget-conscious environment
* Demonstrated ability to seamlessly transition between different software platforms and adapting to new facilities software.

Compensation:
Hourly/Annual wage is $18.00 - $19.00 depending on qualifications and experience.
The salary range listed reflects a good-faith estimate of what we reasonably anticipate to pay for this position, based on market data and internal equity, at the time of posting. Actual compensation will be determined based on qualifications, experience, skills, and other relevant factors. St. Catherine reserves the right to modify or adjust compensation depending on University needs.
