Registrar Services Specialist

Bethel University is seeking a Registrar Services Specialist to serve as a key member of the Registrar's Office, providing exceptional support to students, faculty, advisors, and campus partners throughout the student lifecycle.

In this highly collaborative role, you'll be at the center of the student experience—assisting with the registration processes, delivering outstanding front-line customer service, maintaining accurate student records, and ensuring the integrity of essential academic processes. Your attention to detail, commitment to excellence, and ability to navigate complex requests with professionalism will help students stay on track toward achieving their educational goals.

Candidates must be able to work in the office in Arden Hills, MN. The starting pay for this position is $20.30 per hour.

What You'll Do

Undergraduate Registration Processing, Change Management & Documentation Oversight - 45%

  • Process traditional undergrad registration, add/drop/withdrawal changes, and registration in individualized courses for current students using a variety of tracking reports, systems, and procedures, as required.
  • Communicate necessary registration confirmations and information to university stakeholders.
  • Create and maintain accurate, updated documentation of processes, communication templates, and procedures.
  • Process Major/Minor Changes for Traditional Undergraduate Students.
  • Assists with incoming new student registration and annual registration events.
  • Serves as back up to other team members.

Front-Line Customer Service, Inquiry Routing & Transcript Processing - 35%

  • Serve as front-line customer service for inquiries at both the main office and on-campus location on a rotation basis.
  • Direct mail for the office suite, phone calls, emails, and walk-in visitors to the appropriate staff member, resolving problems and answering questions directly when possible.
  • Process walk-in transcript requests.

Process Stop-Outs, Withdrawal, Forfeitures, and Deferrals - 10%

File Room Maintenance, Student File Process Oversight & Quality Assurance – 10%

  • Oversee file room maintenance in coordination with Registrar's Office staff and student workers.
  • Manage student file processes, including retention cycle, file ordering, and assist in the ongoing training and oversight of student workers who are assigned to file system maintenance.
  • Conducts periodic quality checks and assessments as needed and reports any issues to the Student Worker supervisor.
  • Manage office announcements; maintain inventory; coordinate with facilities, print services, and other offices for maintenance; and order supplies for the department.
Qualifications

Required

Education:

Post-high school training/coursework required.

Preferred Education:

Bachelor's degree preferred.

Required Experience:

Two (2) years of professional experience in an administrative, customer service, student services, or office operations role requiring strong attention to detail and the accurate management of confidential information. Demonstrated experience providing exceptional customer service while managing multiple priorities in a fast-paced environment.

Preferred Experience:

Experience in a registrar's office or similar academic administrative situation or professional office experience preferred.

Knowledge, Skills & Abilities

  • Working knowledge of Microsoft Office Suite. Experience with relational databases preferred.
  • Able to learn, understand, and distribute policy information.
  • Effective oral and written communication skills.
  • Ability to interact effectively with faculty, students, administrators and staff are required.
  • Ability to provide excellent customer service.
  • Excellent attention to detail.
