About the RoleThe Development & Operations Coordinator provides essential support for Rethos’ fundraising systems, administrative operations, and select HR coordination processes. This position works closely with the Executive Director and other staff to help maintain organized donor records, process contributions, prepare donor communications, support office systems, and coordinate routine administrative tasks.
The ideal candidate is organized, detail-oriented, comfortable learning new systems, and able to communicate warmly and professionally with donors, staff, board members, vendors, and community partners.
What You’ll Do Development and Donor Support- Process donations, prepare acknowledgments, and maintain accurate donor, sponsor, and membership records in our CRM database.
- Support donor communications, including thank-you letters, newsletters, campaign updates, membership communications, and annual report materials.
- Help coordinate donor stewardship activities, small cultivation events, mailings, invitations, and follow-up notes.
- Prepare basic donor lists, giving reports, meeting materials, and donor background information.
- Support membership renewals and help ensure delivery of member benefits.
- Provide general administrative support, including scheduling meetings, handling correspondence, maintaining the Executive Director’s calendar, opening and distributing mail, and managing office supplies.
- Serve as a point of contact for general inquiries and direct questions to the appropriate staff member.
- Track and reconcile expense receipts for development and office-related purchases.
- Support database and spreadsheet maintenance, including CRM updates, basic reports, and tracking documents.
- Assist with special projects as assigned.
- Coordinate basic HR support tasks, such as preparing new hire packets, scheduling orientation sessions and interviews, posting job ads, maintaining personnel files, and tracking required trainings.
- Coordinate basic technology questions and refer questions to Rethos’ IT contractor when outside support is needed.
- Strong administrative and organizational skills, including attention to detail and follow-through.
- Ability to manage multiple priorities, meet deadlines, and ask clarifying questions when needed.
- Comfort learning and using databases, spreadsheets, websites, and other digital tools, including cleaning CRM data.
- Strong written and verbal communication skills.
- Familiarity with Microsoft Office or similar office software.
