We're looking for an organized, self‑starting Office Associate to join our team and help keep our daily operations running smoothly.
The RoleAs an Office Associate, you'll be a linchpin of our daily administrative flow. You can expect to be on the phone frequently, serving as a primary point of contact for both the patients coming in for scans and the clients referring them (chiropractors, attorneys, and medical staff). Because our community is diverse, absolute fluency in both Spanish and English is the single most critical requirement for this position.
Key Responsibilities- Communication:
Manage a high volume of daily phone calls, seamlessly switching between English and Spanish to assist patients and professional clients, and translating as needed. - Patient Intake:
Handle incoming medical intake accurately and efficiently. - Medical Records:
Process incoming medical records requests and route them appropriately. - Administration & Tech:
Use our computer systems for data entry, scheduling, and daily tasks with a high attention to detail. - Office Maintenance:
Keep the front office running smoothly by handling general day‑to‑day tasks — from organizing files to making sure the printer is always loaded with paper. - Compliance:
Handle sensitive health information responsibly and accurately.
- 100% Bilingual:
Full fluency in both Spanish and English (verbal and written) is absolutely essential. - Tech‑Savvy:
Strong general computer competency, comfort navigating digital workflows, and proficiency with Microsoft applications. - Detail‑Oriented: A sharp eye for accuracy in data entry and communications.
- Reliable Communicator:
Comfortable and professional spending a significant portion of the day on the phone. - Education:
High school diploma or equivalent. - Pace:
Able to stay organized and effective in a fast‑paced environment.
- Prior knowledge of HIPAA regulations and compliance.
- Previous experience in an office setting, ideally working with medical records.
- A proactive, self‑starting attitude with excellent organizational skills.
- Bachelor's degree or higher.

Pay$52,000/yr salary starting.
