Position: OEL Clerk (Grade V)
Work Schedule: Monday - Friday; 8:00 am
-4:30 pm, 40 hours/week; 12 month
Start Date: 8/31/2026
Pay: Starting pay is $21.07 - $23.94 per hour dependent on qualifications

Summary The OEL Clerk will support the work of the Office of Early Learning Programs, ECSE, Preschool & Pre-K through customer, clerical, and logistical support.

Required Qualifications
  • High school diploma or equivalent
  • Keyboarding speed of 40 wpm
  • Minimum of two years of relevant experience
  • Strong communication (written and oral) and interpersonal skills
  • Strong computer skills including word processing, database, and spreadsheet programs
  • Highly organized and flexible
  • Skilled in prioritizing tasks, multi-tasking, and record-keeping
  • Self-motivated with the ability to function with minimal supervision
  • Ability to maintain confidentiality
Preferred Qualifications
  • Associate's degree or equivalent
  • Prior experience working with people with disabilities
Responsibilities
  • Provide customer service to supervisors, staff, parents, and community members. This includes responding to telephone, fax, mail, and email requests promptly and accurately.
  • Create and submit program job posting requisitions
  • Process and submit Payroll Action Forms for employee hires and changes
  • Code timesheets and review them for accuracy
  • Order office and classroom supplies
  • Process and track orders and record expenditures
  • Process requisitions using the P-card, as needed
  • Maintain accurate budget records and prepare reports
  • Reconcile MARSS reporting errors
  • Request and respond to student record requests
  • Maintain staff attendance (vacation and sick time) records for the program, submitting them to the Payroll department in a timely manner
  • Issue building keys to staff, keeping records accordingly. Work with the Technology department to coordinate staff key card and security system access.
  • Process class registrations and enrollments, applications, and/or facilities paperwork and payments, ensuring that they are current, complete, authorized and kept confidential. When applicable, make certain that insurance certificates have been received and are on file.
  • Generate reports/invoices for billing purposes and facilitate collection of fees from participants, school district partners, county agencies, HMOs, Consortium districts, etc. by sending notices and/or contacting the individual(s) responsible for the account(s)
  • Verify, record, process, enter, and track registrations and payments for programs and/or facility use.
  • Maintain building security measures during school hours, implementing emergency procedures as necessary
  • Maintain and coordinate the building schedule including after school activities, workshops, and other events
  • Generate publications, catalogs, flyers, reports, newsletters, handbooks, and other program-specific documents using various types of computer software
  • Maintain student attendance records.
  • Process student enrollments and withdrawals
  • Maintain active and inactive student files, processing applicable student record requests
  • Process student address and phone number changes.
  • Design, construct, and maintain the master schedule for teachers and students in the District's student information system
  • Enter student data into the District's student information system including student schedules
  • Process transportation requests and problem-solve transportation-related issues
  • Coordinate equipment repair and/or replacement as necessary
  • Prepare regular summary data for administration and other applicable staff, generating state reports and surveys
  • Other duties as assigned
