The College of Science and Engineering seeks a temporary skilled and energetic Office and Administrative Assistant to serve in a key role in the Dean's Office. This position provides executive administrative support to the Dean's Office and reports to the Executive Assistant to the Dean. Responsibilities include but are not limited to performing daily administrative work processes. Must possess an elevated level of verbal and written communication skills with the ability to proof, create and update documents using Microsoft Office, Word, Excel, PowerPoint, and Google Suite.
The position interacts, works, and communicates with all CSE staff and UMN employees, therefore must be outgoing and able to provide, interpret and complete administrative direction.

Work Environment: 100% in-person
Work Schedule- 30 hours per week, a standard schedule will be determined with the supervisor.
- Hours will be between Monday - Friday, 8:00 AM - 8:00 PM.
- Overtime and consecutive Sunday work are not conditions of employment.

CSE Dean's Office Administrative Specialist (50%)
- Provide comprehensive administrative support for the Dean's Office leadership.
- Establish processes to coordinate and prioritize work across a high volume of demands that are diverse in nature and often conflicting.
- Serve as the lead staff member for the Dean's Office front desk to ensure continuous coverage.
- Manage the end-to-end event process, including room booking, catering ordering (and creation of necessary rsvp forms), coordination of setup/breakdown, and execution of attendee materials (e.g. nametags, table tents, email distribution).
- Assist with coordinating CSE collegiate events.
- Support the CSE Advancement team with events, alumni relations, and donor management.
- Submit Facilities Management (FM) requests.
- Fulfill special project requests as needed to support core functions and operations of the Dean's Office.
- Provide essential back-up support for the management of collegiate conference and meeting room reservations, ensuring continuous operational coverage.
- Assist the Executive Assistant to the Dean as needed to help support the CSE Dean's Office operations.
CSE AI Makerspace Administrative Specialist (50%)
- Manage the front-of-house for the AI Makerspace, greeting visitors, students, and faculty, managing the flow of activity, and setting a positive tone for the collaborative environment.
- Manage all equipment and resource access, including overseeing the user sign-in/out process, handling the check-out and return of specialized AI hardware, robotics kits, and other resources, and ensuring inventory is accurate.
- Serve as the primary point of contact for user inquiries; accurately assess their needs and direct them to the appropriate technical staff, student mentors, or resources (e.g., training materials, documentation).
- Proactively maintain the aesthetic and functional organization of the space, ensuring a clean, safe, and inspiring environment conducive to innovation and collaboration.
- Develop and maintain internal operational documentation and user guides for administrative processes and basic space policies.
- Provide comprehensive support for administrative functions across the makerspace, including calendaring, scheduling meetings for staff and leadership, and managing room reservations for workshops and events.
- Assist in managing financial administrative tasks, including processing purchasing requests, tracking expenditures, reconciling invoices, and supporting the preparation of budget documentation.
- Coordinate logistics for special events, tours, and workshops, including setting up and tearing down, managing RSVPs, communicating with internal and external partners, and ensuring a seamless experience.
Required Qualifications:
- High School Diploma/GED and two years of related office and administrative experience. Training/education may be substituted for some of the years of experience.
- Experience with Google Workspace
- Experience with Drupal Platform
- Experience and knowledge with Donor Management System (DMS)
- Experience with equipment and inventory management software and user access tools
