The Impact You'll Make in this Role
As an Executive Assistant, you will have the opportunity to tap into your curiosity and collaborate with some of the most innovative and diverse people around the world. Here, you will make an impact by:
- Provides administrative support to the Vice President of R&D, Abrasive Systems Division
- Maintains the frequently changing calendar, schedules meetings & workshops, and independently resolves conflicts as they arise
- Creates and/or compiles meeting materials including agendas and presentations
- Coordinates travel arrangements and complete subsequent expense reports
- Supports the R&D leadership team as needed, including helping onboard new employees, managing office space availability, PPE and lab stationary supplies
- Scheduling and supporting meetings, video conferences and teleconferences and making necessary arrangements to set-up meeting space
- Creating and/or compiling meeting materials including agendas, posters, presentations, surveys and meeting summaries
- Maintaining and distributing organization charts and evacuation list
- Enter and track purchase orders with SAP and through P-Card; monitor for invoicing
Your Skills and Expertise
To set you up for success in this role from day one, 3M requires (at a minimum) the following qualifications:
- High school diploma/GED or higher (completed and verified prior to start) from an accredited institution
- Five (5) years of experience performing common administrative functions and software, e.g. telephone, e-mail etiquette, MS Office Suite, expense reporting, mailings, supply/equipment ordering, and meeting planning in a public, private, government, or military environment
- One (1) year of experience placing orders with ERPs like SAP in a public, private, government, or military environment
Additional qualifications that could help you succeed even further in this role include:
- SAP superuser experience
- Experience with financial and employee data systems, for example, SAP, Work Day, Concur expense reporting, etc.
- Proficiency in MS Office including Word, Excel, and Power Point
- Expertise equivalent to that which would be obtained through administrative certifications such as the Certified Professional Secretary (CPS)
- Demonstrated ability to balance multiple priorities
- High attention to details, rigor and responsibility
Work location:
- This role follows an on-site working model, requiring the employee to work at least four days a week at the 3M Center in Maplewood, MN.
Travel:
May include up to 5% domestic/international
