Mitchell Hamline School of Law is seeking to hire a full-time Student Records and Outreach Coordinator. This position is responsible for managing student academic records and course registration, and preparing official documentation including bar exam certifications, degree verifications, and enrollment verifications. This position also manages overseeing grade and transcript processes, coordinating departmental communications, and ordering official diplomas and certificates.

Essential Duties and Responsibilities:

Registration Processing
  • Enter course credit value changes
  • Answer student, faculty, and staff registration questions
Graduation Processing
  • Manage Intent to Graduate dates and applications to graduate
  • Update student coding the SIS to graduation status
  • Send list of graduating students to key offices
  • Order diplomas and certificates
  • Manage diploma and certificate re-issues and orders
  • Manage Paradigm relationship
  • Process and track bar certifications
Manage Grade Processes
  • Distribute grade deadlines and instructions to all faculty and adjuncts
  • Assist faculty with online grade submission and process all grade changes
  • Ensure compliance with mandatory requirements
  • Enter incomplete grades into SIS
  • Communicate grade policies to students
  • Process CALI awards and notify students
  • Notify students of placement on Dean's List
Maintain Student Records
  • Manage internet submissions
  • Maintain student files in accordance with records retention policy
Records Request
  • Coordinate and process transcript requests
  • Process letters of good standing
  • Process enrollment and degree verification requests
  • Fulfill requests for copies of law school applications
Communications
  • Update My Academics portlet in the student portal as necessary
  • Develop forms as necessary
  • Manage all outbound email communications to faculty, staff and students
  • Manage changes to the Academic Catalog
Teamwork and Cross Training
  • Foster a collaborative, cross-trained team
  • Promote shared goals and open communication
  • Take on other duties as assigned (e.g., new projects and team projects)

Minimum Qualifications:
  • Bachelor's Degree or 3-5 years of experience in an administrative office setting.
Preferred Qualifications:
  • Experience in an administrative office setting in higher education.
  • Bachelor's Degree
  • 3-5 years managing records in a Student Information System.
  • Fluent using Microsoft Office and other technologies.
Pay Range

The anticipate pay range for this position is $23 -$26 per hour, depending on qualifications and experience.
