The Assessment Production Associate 1 ( APA) 1 works with and assists the Assessments team to maintain ARRT’s high-quality standards and is responsible for a range of exam and assessment production administrative tasks following detailed quality control process. The APA provides meeting support for virtual and onsite committees working closely with volunteers. The APA is a department resource for ARRT exam and assessment production and publication protocols and ARRT item and document editing styles.
This role requires the ability to prioritize and complete assigned tasks independently and, at times, the aptitude to transition to new or additional tasks as required by the team, following established schedules and protocols. This position is hybrid with approximately 50% onsite requirements.
- Prepare and preserve reports of department exam and assessment form preparation and publication activities
- Maintain exam and assessment files and documentation
- Prepare, update, and edit images and videos for exam and assessment forms
- Provide grammatical suggestions to staff on item edits and item formatting according to ARRT standards
- Complete timely quality control and production of exams and assessments according to schedules, informing department staff of progress
- Work with staff to ensure exam and assessment forms are developed and published according to established procedures
- Learn, understand, and apply functionality of the test administrator software to complete publication activities, troubleshooting issues as necessary
- Complete and confirm transmission of exam and assessment files with the test administration organization
- Learn, understand, and apply functionality of the item banking software to perform tasks such as:
- transfer item writing items into the item banking software
- edit to images and videos, and grammatical suggestions according to established protocols
- complete item maintenance and update activities
- update user/roles/permission as directed by staff
- produce various reports as needed
- Assist with and confirm completion of onsite and virtual volunteer committee meeting and workshop tasks such as:
- create and arrange delivery of meeting invitations, reminders, and instructions
- facilitate onsite hospitality and transportation
- coordinate, reserve, and prepare onsite conference rooms for meetings or workshops
- prepare meeting materials and computer equipment
- perform varied support of staff and committee members
- complete and document post-meeting tasks
- Participate with staff in Item Writing Workshops
- Learn, understand, and apply functionality of the volunteer database for committee related activities such as:
- proof and review informational pages for accuracy
- confirm completion of volunteer qualifications.
- document communications with volunteers.
- confirm committee availability for meetings.
- run reports of volunteer data.
- compose routine correspondence communications for committee members
- maintain schedules for committee meetings and other projects
- Recognize and report imaging database entry or functionality issues.
- Assist in maintenance of the imaging database by receiving imaging uploads from volunteers and annotating images according to ARRT protocols and standards
- Send materials and related documents to newly appointed item writers
- Coordinate item writers’ payment; track items received, and fees paid
- Evaluate inquiries and respond to or direct to other staff for response
- Keep manager and assigned discipline exam development coordinator informed of exam and assessment development activities via regular weekly meetings or immediately if needed
- Participate in ongoing team meetings providing input and information when appropriate
- Participate in continuous process improvement
- Participate in ongoing goals and personal development activities
- Coordinate with other ARRT departments as needed to facilitate exam production processes
- Support organizational priorities through active participation in ARRT Projects as assigned.
- Proactively manage and deliver assigned ARRT project work.
- Other duties as assigned and modified as business needs dictate.
- Associate degree or equivalent industry experience
- Three years of administrative assistant experience
- Proficient computer skills including Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat
Skills and Abilities
- Proficiency with computer technology and software programs, including the Microsoft Office 365 suite with i ntermediate level SharePoint and Adobe Acrobat skills along with the ability to learn and apply new programs
