Office Administrator/ Coordinator
Mount Zion Temple is looking for an organized, warm, self-starting coordinator to be the connective tissue of our religious school and community life. We are a vibrant, welcoming Reform Jewish congregation serving more than 700 households across the greater Twin Cities. You do not need to be Jewish to thrive here. Our staff and community include people from different backgrounds. What matters for this role is curiosity, kindness, a strong work ethic, and a genuine interest in helping families and congregants connect with learning, meaning, and one another.
WhatYou Will Do
Reporting to the Executive Director and working closely with the Religious School Director and Communications and Technology Manager, you will keep our education and programs running smoothly and keep congregants informed and engaged.
Communications. Design, edit, and send weekly emails, and keep communications clear and consistent.
Registration and sign-ups. Build and manage registration and sign-up forms for religious school, programs, membership, and special events; track responses and follow up.
Coordination. Maintain the school and youth schedules, coordinate parent and volunteer sign-ups, and help events and programs come together on time.
School operations. Provide administrative support to the Religious School Director and teachers, including preparing materials, keeping records current, and managing in person and online systems.
A welcoming presence. Greet students, families, visitors, and vendors; answer phones and emails; and help people feel at home the moment they arrive.
Supplies and vendors. Keep supplies stocked and vendors on track.
Data and records. Assist with database upkeep, basic accounting tasks, and donor acknowledgments.
Team support. Take meeting minutes and jump in on other projects as our team needs.
A self-starter. You see what needs doing and do it, and you are comfortable owning your role and helping define it.
A juggler of projects. You can juggle several projects at once, keep track of deadlines, and stay calm when priorities shift.
A quick study with technology. You pick up new software platforms quickly and enjoy figuring out how tools can make work easier. Experience with Microsoft 365, Salesforce, Zoom, Constant Contact, Canva, or similar platforms is a plus.
Detail-oriented. You are a careful copy editor who catches the typo, the wrong date, and the missing link before anything goes out.
A strong communicator. You communicate clearly and kindly in writing and in person, you ask clarifying questions when needed, and you handle confidential information with discretion and respect.
A people person. You bring strong interpersonal skills and a warm, welcoming presence to a busy front office full of kids, parents, teachers, and members.
Experienced. Experience in a school setting or in administrative work is a plus, as is experience in a nonprofit or congregational setting. A bachelor’s degree or equivalent experience is preferred.
Physical requirements. You are able to sit for extended periods, lift up to 25 pounds, and use standard office equipment.
This is primarily an on-site position at our building in St. Paul, with one remote day per week. Reliable transportation to work is required.
During the school year (September through May), religious school meets on Wednesday evenings and Sunday mornings, and this role is on site for both. In exchange, we offer a flexible weekly schedule built around those commitments, and a lighter, more traditional schedule in the summer.
