Project Manager Assistant

(n.) someone who takes on a new challenge every day; managing the work today from project goals and objectives set yesterday to complete the project on time, on budget successfully tomorrow.

1. Project Platform & Project Management Software

• Set up and maintain Wrike project folders, task structures, and timelines.
• Assign and track action items, dependencies, and milestones.
• Manage all project documentation & communications.

2. Certificate of Insurance (COI) & Safety Compliance

• Request, review, submit, and track COIs.
• Ensure subcontractor insurance compliance with project requirements.
• Coordinate documentation such as JHAs, SDSs, and site-specific safety plans.
• Track training records, incident logs, and inspection reports.
• Assist in preparing schedules of values (SOVs) and verifying accuracy.
• Coordinate with accounting and PMs for AIA invoicing and required exhibits.
• Ensure timely and accurate submission of supporting financial documentation.

4. Shop Drawing & Samples Coordination

• Submit and track shop drawing submittals.
• Cross-reference drawings with physical submittals for accuracy.
• Maintain tracking tools, approval schedules, and review checklists.

5. Communication & Stakeholder Coordination

• Take detailed meeting notes and distribute action item summaries.
• Draft and deliver internal and external project updates.
• Schedule and confirm meetings with vendors, owners, and consultants.
• Maintain logs to track responsibilities and deliverables.

6. ERP (Innergy) Implementation Support

• Support Innergy ERP rollout through user testing and feedback.
• Align Wrike and Innergy reporting structures.
• Function as the PM team’s Innergy Champion, providing coaching and end‑user support.

7. Field & Fabrication Collaboration

• Attend jobsite visits to observe field progress and material installation.
• Collaborate with fabrication teams to understand sequencing and tolerances.
• Apply observations to improve constructability and planning.

8. Other Project Support

• Assist with punch lists, closeouts, deliveries, and logistics.
• Step in to support tasks or close project gaps as needed.

Hansen & Company Woodworks is seeking a motivated Project Manager Assistant (PMA) to support our project delivery teams. This is a key opportunity for individuals interested in a career path toward becoming a full Project Manager within 12 months. You will work closely with Project Managers, field teams, and fabrication departments to ensure our custom millwork projects run smoothly from start to finish.

Associate or bachelor’s degree (Construction Management, Business, Engineering, Architecture, or similar)

At least 1 year of experience in project management, estimating, accounting, or analysis.

Ability to read blueprints, drawings, contracts, and POs.

Proficiency with Microsoft Office

Strong organizational skills and attention to detail

Excellent communication and time management

Experience in commercial millwork or casework

Familiarity with INNERGY ERP and Wrike

Background in estimating, design-assistance, or value engineering

Previous work with architects, general contractors, or design teams

$62k – $75k based on experience
