Job Overview
Fairview is seeking a Contract Specialist to join our Contract Lifecycle Management team. This is a full-time (1.0 FTE), benefit-eligible position typically working Monday through Friday from 8:00 a.m. to 4:30 p.m. The ideal candidate will have extensive experience reviewing, negotiating, and managing contracts, with the ability to identify critical issues, recommend revisions, and negotiate terms that protect Fairview's interests while minimizing organizational risk.
This role requires exceptional attention to detail, strong analytical and communication skills, and the ability to manage multiple priorities in a fast-paced environment. Successful candidates will be collaborative, customer-focused, and capable of handling a high-volume workload while maintaining accuracy and professionalism. Work for this position is performed in a virtual environment following departmental onboarding and operational expectations.
The Contract Specialist is responsible for developing, negotiating, managing, and maintaining purchased service contracts and other contracts for assigned areas. Responsibilities include monitoring contract expiration dates with the appropriate team or business owner, developing and maintaining relationships with vendors and internal customers, conducting vendor business reviews, completing cost analysis and summary analysis for standardization or conversion opportunities, and participating in portfolio managers' annual budgeting process.
The Contract Specialist provides savings analysis for accuracy tracking, supports contract review and execution, and takes an active role on user group committees, value analysis teams, and process improvement initiatives.
- Develop, negotiate, and maintain system-wide contracts within areas of responsibility.
- Annual contract portfolio value between $40 and $60 million.
- Understand business owners' requirements and develop strategy prior to negotiation.
- Conduct negotiations with vendors, draft contracts and contract summaries, and obtain signatures per policy.
- Review contracts for financial issues and liability risks, redline and revise contracts to address issues.
- Facilitate risk reviews with key stakeholders as appropriate.
- Identify and document savings and/or cost avoidance.
- Enter and maintain contract information in the contract management system.
- Provide pricing support to Contract Specialist Associate for entry into the system.
- Manage supplier relationships to ensure performance to commitments and Fairview standards.
- Establish parameters with business owners and stakeholders for managing contract terms, timelines, and deliverables.
- Facilitate routine contract reviews with vendor and end-user department accountable for contract.
- Evaluate vendor performance.
- Contracting and analytical lead for system-wide supply chain project teams to promote standardization and cost reduction.
- Analyze opportunities for standardization and cost savings.
- Develop cross-reference processes and tools with vendors and present options to Value Analysis Team and business stakeholders.
- Prepare final cross-reference and financial analysis.
- Develop methodology, calculate, and document projected savings by project and site for the Savings and Tracking tool.
- Lead or participate on multidisciplinary process improvement teams as the contracting expert.
- Communicate effectively with stakeholders.
- Maintain accurate contract information in the contract management system and GPO partner.
- Update Contract Specialist Associate on price changes and additions as needed so Associate can coordinate with Purchasing Control Coordinator.
- Maintain accurate information in Rebate Tracker and enter estimated frequency and amounts for the Contract Administrator to coordinate receipt of refunds.
- Provide breakdown by site if requested.
- Update Portfolio Managers and provide Savings and Tracking Form when rebates are received.
- Review and approve capital requisitions in the contract management system.
- Support business owners in the capital approval process, review and negotiate quotes, process contracts when applicable, and save in the system.
- B.S./B.A. in Business or related field.
- Four years of relevant contract work experience in supply chain or a purchasing function in the area of specialty; must have knowledge of products/services used in specialty, healthcare, or related areas.

- B.S./B.A. in Business or related field and continuing education credits in materials management, supply chain, or healthcare.
- Two years as a Contract Specialist Associate at Fairview.
- Eight years of progressive experience with comprehensive vendor and services knowledge in healthcare or related areas.
- Post-baccalaureate Certificate in Paralegal Studies (for Purchased Services).
