The Office of the Minnesota Secretary of State seeks to fill a Bilingual Customer Service Specialist, Intermediate position. This position exists to serve the public by responding to a wide range of inquiries over the telephone, online through email, and through the mail, so that information is properly and correctly provided to the general public.

The job duties include but are not limited to:

+ Process copy and certificate orders, including authentications, or ensure they are processed appropriately.

+ Assist customers contacting the public information phone queues by accurately providing information about fees, forms, and available services.

+ Review, enter, and image routine corporate documents and no-fee annual registration filings to ensure compliance with Minnesota Statutes and accurate, timely data entry.

+ Provide backup support to Customer Service Specialist, Senior and other Customer Service staff during shortages, and complete additional assigned tasks as needed.

+ Maintain positive, professional relationships with staff, supervisors, and customers, and support the Office of the Secretary of State's mission, vision, and strategic initiatives as directed.

* ** Minimum Qualifications*
* + Bilingual proficiency in Spanish and English, including speaking, writing, and reading, to effectively support diverse populations.

+ Typing/keyboarding skills sufficient to complete typing tasks accurately and efficiently.

+ Word-processing skills sufficient to accurately prepare and process internal and customer-related transactions.

+ Data entry skills sufficient to review, enter, and process documents with accuracy and efficiency.

+ Customer service skills sufficient to: (1) Provide prompt, courteous, and accurate information by phone, in person, by email, and through other written correspondence and (2) Communicate and gather information with tact and diplomacy in difficult situations and effectively resolve customer concerns.

+ Ability to provide effective general and specialized office support, demonstrating courtesy, tact, empathy, sound judgment, and logical organization of information.

+ Ability to explain laws, rules, regulations, standards, policies, and procedures to customers clearly and accurately.

** Preferred Qualifications*
* + Knowledge of complex and routine business filing requirements.

+ General knowledge of State of Minnesota Statutes that govern business.

+ Ability to spot and correct inconsistencies, grammar issues, and formatting errors quickly.
