The Gift Processing
SpecialistIIprovides day-to-day coordination and oversight of gift processing operations forthe
Membership and Annual Giving department. This role ensures all gifts are processed accurately, compliantly, and efficiently while supporting a high-quality member and donor experience across all giving channels.
The coordinator connects Development, Finance,Grants,Corporate Partners,Conservation Operations,Membership& Annual Giving,Chapter & Volunteer Services,and IT to ensureprocessalignment across systems, workflows, and reporting. Thispositionplays a criticalroleinmaintainingandrefiningcurrentoperations, enabling revenue growth, and preparing the organization for campaign-level fundraising activity.
Primary Responsibilities Gift Processing- Serve as a subject-matter expert on gift processing policies, IRS regulations, and industry best practices.
- Administer gift processing activity in Microsoft Dynamics 365 CRM and related third-party systems tomaintaindata accuracy and record integrity.
- Coordinate and manage theclientpartnership with Deluxe Corporation on their Remote Desktop Capture (D24/7) and R360 caging service solutions for the daily processing of inbound membership and annual giving campaigns.
- Execute day-to-day gift processing, including standard membership transactions, charitable gifts, pledges/pledge payments, recurring donations,internalPFQFemployee giving through payroll,employer matching gifts, and restricted contributions.
- Manage andmonitorthird-party charitable giving platforms and funding portals tofacilitatedonor participation,and ensure theactiveprocessing of employer matches, employee giving contributions, DAF grants, QCDs, and other philanthropic gifts.
- Execute the ACH deposit process in coordination with Finance team and other internal stakeholders, managing accounts with multiple external parties and coordinating information from various sources.
- Ensure member and donor gifts are processed and receipted with accuracy, including proper handling and compliance related totax-deductibilityof premiums, quid pro quo contributions, and multi-year commitments.
- Maintain documentation and internal controls to support efficientandcompliant gift processing.
- Monitor, track,and provide updates ongift processing volume, timelines, and outstanding items.
- Serve as an operational partner for system changes affecting gift processing, including testing, workflow updates, and documentation of standard operating procedures.
- Identify process gaps, inefficiencies, and risks, and help implement improvements to strengthen operations and reporting.
- Collaborate to support coordinated gift processing that improvesthemember anddonorexperience.
- Work cross-functionally with the Development Team to support processing and accuracy related to pledges, memorials, tributes, and major gifts.
- Help resolve member,donor,and partner inquiries related to gift transactions, giving methods, and processing issues.
- Support operational readiness during peak periods, campaigns, and system changes.
- Assistwithadditional Membership & Annual Giving operational priorities as assigned.
- Bachelor’s degree or equivalent professional experience in nonprofit operations, finance, or administrative roles.
- Minimumofone yearof experience in gift processing, data operations, or related work.
- Experience working with Customer Relationship Management (CRM) systems (Microsoft Dynamics, Salesforce, etc.).
- Strong attention to detail and commitment to data accuracy.
- Experience coordinating workflows and managing multiple priorities in a high-volume environment.
- Strong organizational, problem-solving, and communication skills.
- Experience in a nonprofit or membership-based organization.
- Familiarity with Microsoft Dynamics 365.
- Experience supporting employer matching gift programs or alternative giving methods (DAFs, stock, QCDs).
- Experience supporting reporting, audits, or compliance-related processes.
- Passion for conservation, the uplands, and the hunting community.
Salary range:$49,300-$61,600+ benefits. Commensurate with qualifications and experience.
