Job SummaryThe School Administrative Assistant serves as the primary administrative support for the Principal and oversees the daily operations of the school office. This position provides exceptional customer service to students, families, faculty, staff, and visitors while ensuring the efficient management of school records, communications, registration, and office operations. The Administrative Assistant supports the educational mission of the school by maintaining a welcoming, organized, and professional office environment consistent with the values of the Catholic Church.
Job Responsibilities Administrative Support- Provide comprehensive administrative support to the Principal.
- Manage the daily operations of the school office.
- Establish, organize, and maintain confidential student and school records, databases, and filing systems.
- Prepare correspondence, reports, forms, newsletters, and other school communications.
- Type, proofread, and distribute letters, notices, and official school documents.
- Maintain confidentiality of all student, personnel, and school information.
- Coordinate all aspects of student registration and enrollment.
- Maintain emergency contact forms, health records, volunteer documentation, and enrollment files.
- Organize and maintain student class schedules and classroom rosters.
- Update student and family information within the school's student information system.
- Prepare report cards, mailing labels, and student records as needed.
- Maintain current family directories and school contact lists.
- Minimum of two years of administrative or office experience preferred.
- Experience in a school, parish, or nonprofit environment is preferred.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Publisher.
- Experience with FACTS Student Information System or similar school management software preferred.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Excellent verbal and written communication skills.
- Professional, courteous, and service-oriented demeanor.
- Ability to maintain strict confidentiality and exercise sound judgment.
- Compliance with all diocesan Safe Environment requirements, including Protecting God's Children training.
