Purpose of the Role

The Electrical Procurement Specialist provides administrative and operational support to the Electrical Procurement Manager by assisting with purchasing activities, purchase order processing, order tracking, and coordination between internal departments and external suppliers. This role helps ensure timely procurement of electrical materials and components while maintaining accurate records and supporting ISO 9001 quality and documentation requirements.

Key Responsibilities and Duties
  • Assist in the preparation, entry, and processing of purchase orders for electrical materials and components.
  • Track purchase order status and follow up with suppliers to confirm order acknowledgments, delivery dates, and shipment details.
  • Coordinate with internal departments (engineering, production, service, accounting) to support material needs and resolve order-related questions.
  • Maintain organized and accurate procurement records, including purchase orders, confirmations, delivery documentation, and supplier communications.
  • Support inventory tracking and material availability reporting as directed by the Electrical Procurement Manager.
  • Assist with supplier communication related to order status, documentation requests, and basic inquiries.
  • Identify and elevate potential supply issues, delays, or discrepancies to the Electrical Procurement Manager.
  • Support ISO 9001 document control and record retention requirements related to procurement activities.
  • Assist with general administrative tasks related to procurement operations as needed.
Qualifications Required Competencies
  • Education:

    High school diploma or equivalent required; additional administrative, business, or technical education is a plus.
  • Experience:
    • 1–3 years of administrative, purchasing, or coordination experience preferred.
    • Experience in a manufacturing, engineering, or industrial environment is beneficial.
    • Familiarity with ERP systems (such as Sage or similar) preferred.
    • Basic experience with purchase order processing or vendor interaction is a plus.
  • Skills:
    • Strong organizational and attention-to-detail skills.
    • Ability to manage multiple tasks and follow established processes.
    • Proficient with Microsoft Office Suite (Word, Excel, Outlook).
    • Clear written and verbal communication skills.
    • Ability to work effectively with cross-functional teams.
    • Basic understanding of purchasing and inventory concepts.
    • Ability to follow documented procedures and maintain accurate records.
    • Fluent in English.
