Job Description Summary The Specialty Assets Trust Associate provides advanced administrative support to the Specialty Assets department, ensuring smooth operations across mineral/oil/gas interests, promissory and mortgage notes, and closely held business assets. This role involves non-routine administrative work, coordination of asset transfer processes, and data management.
Responsibilities- Maintain accurate databases for mineral/oil/gas interests, promissory notes, mortgage notes, and closely held business assets.
- Facilitate and coordinate asset transfer processes across all asset types.
- Perform non-routine administrative tasks, escalating only the most complex issues when necessary.
- Schedule, track, and report key departmental information.
- Collect and prepare data for reports, budgets, and variance analyses.
- Compile information from multiple sources into cohesive, comprehensive reports.
- Assist with the preparation, review, and auditing of reports.
- Conduct research and investigations on complex matters and prepare supporting analyses.
- Provide guidance or training to lower-level employees as required.
- Develop processes and monitor adherence to policy, standards, and procedures.
- Collaborate with internal and external parties to obtain valuations for all assets.
- Standard office practices, procedures, and methods.
- Basic mathematical calculations.
- Basic understanding of Microsoft Excel.
- Organizational and time management abilities.
- Use of standard office equipment and software.
- Interpreting and applying policies and procedures.
- High level of detail orientation.
- Build strong working relationships.

- Communicate clearly in writing and verbally.
- Work effectively under pressure.
- High school diploma or equivalent and 2–5 years of office or customer service experience, preferably within Specialty Asset administration, such as mortgage and promissory notes and closely held businesses.
- Or an equivalent combination of education, experience, and training.
