The IT Executive Admin Services Specialist 2 provides administrative, event planning, travel organization, and project support to assigned Executive(s) and/or supports other Executive Admin Services Specialists as necessary. Exercises judgment and anticipates and self-manages the needs of the C-Level Suite while ensuring efficient day-to-day logistics. Demonstrates understanding of departmental priorities, anticipates needs based on business initiatives, and takes appropriate action when guidance is unavailable.
Major Position Responsibilities
- Provides comprehensive administrative support to one or more SVPs and/or the Business Development Strategy Director to optimize their time and interactions with staff and the public.
- Handles a variety of administrative tasks, independently initiating and managing processes related to projects, information, and personnel.
- Manages the executive's schedule, prepares for meetings, follows up on tasks, and arranges complex travel.
- Conducts research, compiles information, and prepares summaries and reports for the executive.
- Builds positive, strategic relationships across the organization.
- Uses discretion, judgment, and organizational knowledge to support activities and maintain confidentiality.
- Evaluates different options and recommends decisions on projects, tasks, and events.
- May oversee support staff or other resources.
- Participates in developing and implementing administrative standards, policies, and practices.
Additional Responsibilities
- Coordinates and executes complex private and commercial travel arrangements for the Executive Leadership and Senior Leaders, including flights, accommodations, transportation, and dining, working effectively with contracted vendors.
Basic Qualifications
- Associate's Degree and 2-4 years of experience or equivalent education and experience.
- Skills include:
Oral and Written Communication, Problem Solving, Business and Internal Communications, Call Screening, Document Preparation, Drafting Correspondence, Meeting Minutes, Scheduling and Logistics, Reception, Records Management, Spreadsheets, Inquiry Response, Management Reporting, Public Relations, and Travel Coordination. - Proficiency in MS Office (Excel, Word, PowerPoint).
