Job Description
OverviewThe Coordinator for Operations and Outreach within the New Student and Family Engagement Office assists with the creation and fulfillment of the vision and strategic plan for the growth and improvement of programs and resources related to the New Student Orientation experience. This position is responsible for setting up and managing the Orientation registration and reporting system and supervising the Office Student Assistants, including creating session registrations, managing session caps, student and family registrations, attendance for Orientation requirements, and reporting.
It also includes updating the website, creating and disseminating communication campaigns, and managing space reservations for Orientation events. The Coordinator for Operations and Outreach also supervises Office Student Assistants and facilitates their hiring, training, and leadership development.
The New Student and Family Engagement office comprises three units:
Orientation, New Student Connections, and Parent and Family Engagement. These units support a seamless transition for incoming students and families, provide guidance and resources, and foster belonging and individualized support to aid student success. All team members seek to unite new students under the privilege and responsibility of being USF Bulls.
- Assist with the daily operations and management of the Orientation programs, including:
- monitoring session counts and individual college numbers
- attendance tracking and outreach efforts
- producing weekly reports with registration data for internal staff and campus partners
- creating complex session summary reports at the end of each term
- communicating with offices such as the Office of the Registrar, Office of Admissions, Financial Aid, Housing and Residence Life for related student and Orientation session concerns
- producing recommendations to be shared with university leadership regarding Orientation attendance tracking and compliance
- managing all space reservations for the department
- coordinating and managing purchasing and reconciliation of materials needed to run the Orientation sessions
- Create, monitor, and manage sessions in the Orientation registration system (VZ Orientation) for First-Year, Transfer, International students, Families and Guests, and Virtual Orientation attendees.
- Confirm all details are ready before registration goes live, including automated emails, student groups, eConfirmation packets, updating majors/concentrations, and time ticket dates for registration and pre-registration.
- Partner with colleges on student and Orientation session needs (including distribution lists and new and archived majors).
- Develop framework for and manage virtual Orientation initiatives.
- Manage users and permissions in the Orientation registration system (VZ Orientation) and train all employees on use of the system.
- Manage the recruitment, selection, training, and leadership development of Office Assistants and Orientation leaders; may be responsible for student hiring and time sheet certification.
- Other duties as assigned.
- Minimum Qualifications: Bachelor’s degree, with at least one year of related experience.
- Preferred Qualifications: At least one year of experience in a student affairs/student personnel role; or a Master’s degree in Higher Education, College Student Personnel, or Sports Recreation Administration. Direct experience with orientation and transition programs. Proficiency in registration systems and relational database management (Excel, Access, or similar) with 1-2 years of experience using these programs in complex projects. Experience with Banner is preferred.
Experience with Visualzen (VZOrientation or VZ App) is highly preferred.
