Administrative Assistant – Salem, MA
Job Summary
The Administrative Assistant supports the efficient operation of the site’s Management Office by answering all calls courteously, expediting resident‑related issues, and performing general clerical and administrative tasks.
- Answer all calls promptly and courteously, referring to appropriate staff.
- Open incoming mail and distribute to appropriate staff.
- Accept orders for maintenance problems/repairs, complete work order forms, and provide them to the Service Manager for timely completion.
- Maintain general office filing and records.
- Prepare memorandums outlining and explaining administrative procedures and policies to staff and monitor compliance.
- Directly prepare records such as agendas, notices, minutes, and resolutions for Board meetings.
- File and maintain association documents and records. Create and maintain database and spreadsheet files.
- Provide assistance and/or coverage at other sister sites within the company portfolio as needed.
- Perform other duties as assigned to facilitate effective site operations.
- Take initiative and be self‑motivated.
- Demonstrate excellent customer service skills.
- Be bilingual in English/Spanish.
- High School Diploma or GED.
- Minimum of 3 years of business experience providing clerical and administrative support.
- Knowledge of One Site.
- Proficiency with Microsoft Word, PowerPoint, and Excel.
