About the Role

We are seeking a full-time, 40-hour Clinic/Practice Assistant to support our Pulmonary practice Monday through Friday, 8:30 a.m. to 5:00 p.m. This role is currently based at our Salem, MA location at 55 Highland Avenue. In the fall, the team will transition to a brand-new office space at 194 North Street in Danvers, offering an updated and collaborative work environment.

In this important front-office role, you will help support smooth daily practice operations by welcoming patients, managing appointment workflows, answering phone calls, processing documentation, and partnering with providers and care teams to deliver a positive patient experience.

Clinic/Practice Assistants are often the first and last point of contact for patients and families. Your ability to communicate clearly, stay organized, and handle details with care helps keep the practice running efficiently and ensures patients receive timely, compassionate support throughout their visit.

What You’ll Do
  • Welcome and assist patients during check-in and check-out.
  • Schedule appointments, maintain appointment records, and help manage daily provider schedules.
  • Answer phone calls, assist callers with routine questions, take accurate messages, and route inquiries appropriately.
  • Support patient visit workflows, including billing forms, copayments as needed, scanning documents, and maintaining accurate records.
  • Request patient medical records, laboratory results, and other documentation needed by the care team.
  • Handle messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Open and distribute mail or faxes and type forms, records, schedules, memos, and other materials as directed.
  • Serve as a resource for scheduling, registration, and billing systems and provide assistance or training to others as needed.
  • Support more complex administrative functions, such as schedule changes or specialized scheduling workflows, based on department needs and competency level.
Qualifications
What We’re Looking For
  • High school diploma or equivalent required.
  • Two to three years of office experience required.
  • Certified Medical Administrative Assistant certification preferred.
  • Proficiency with Microsoft Office applications and comfort using standard office technology.
  • Knowledge of office operations and procedures, including filing, copying, scanning, printing, and faxing.
  • Ability to manage phone systems, handle non-routine calls, and resolve routine issues appropriately.
  • Strong written and verbal communication skills, including the ability to compose clear messages and take complete, accurate notes.
  • Excellent organization and time management skills with the ability to manage multiple tasks, follow established protocols, and work effectively within systems.
