Responsibilities
  • Provide administrative support and leadership for Operations departments, including Food & Nutrition Services and Facilities & Grounds Departments.
  • Manage all accounting processes: accounts payable/receivable, invoicing for events, payroll preparation, invoice verification, account reconciliation in MUNIS, and preparation of monthly, quarterly, and year‑end reports and compliance documents.
  • Act as the first point of contact for Food & Nutrition Services and Facilities & Grounds Departments, answering calls and inquiries from internal and external stakeholders.
  • Prepare grant reports and support employee scheduling (overtime, coverage for absences).
  • Verify and pay all invoices weekly through the city’s accounts system; manage and track invoices.
  • Schedule vendor visits, support uniform purchase and reimbursement, and prepare deposits.
  • Maintain records and documentation related to purchases, acquisitions, grants, and personnel; manage expenditure sheets, P&Ls, and department budgets.
  • Generate monthly financial reports benchmarking spending categories year over year; report monthly claims and prepare monthly Meals Tax.
  • Communicate regularly with city finance office and attend Operations meetings; attend monthly finance meetings with other clerks.
  • Answer phones, greet visitors, and provide support to SPS staff.
  • Assist Operations staff and leadership with additional tasks as required.

Qualifications
  • Associate’s degree required;
    Bachelor’s preferred (Business or Accounting) or equivalent.
  • Minimum two years of accounts payable/receivable experience.
  • Solid understanding of accounting systems; MUNIS experience a plus.
  • Proficiency with Google Suite; fluency with Excel a plus.
  • Ability to work in a fast‑paced environment and manage multiple tasks simultaneously.
  • Ability to keep confidentiality.
  • Excellent problem‑solving, organizational, and communication skills (including telephone).
  • Ability to take direction and work both independently and as part of a team.
  • Strong sense of customer service; bilingual (Spanish or Portuguese) preferred.
  • Must pass a CORI check.
  • Ability to meet deadlines.
Job Environment
  • Work is generally performed indoors, with occasional exposure to rain, snow, heat, and cold when traveling between school buildings.
  • Frequently operates office equipment including computers and calculators.
  • Makes frequent contact with school, city, state, or county personnel, as well as contractors and vendors.
Work Year

The Principal Account Clerk works a full‑time, full‑year (260‑day) work year.

Salary and Benefits
