Role OverviewWe are seeking a highly organized, detail-oriented Financial Operations professional to manage the firm’s day-to-day financial workflows. This role is ideal for someone who thrives in fast-paced professional services environments and can bring structure, accuracy, and accountability to billing, payroll, and financial administration. This individual will play a critical operational role by ensuring invoices, payments, and financial processes run smoothly and reliably.
Key Responsibilities Billing & Invoicing- Own end-to-end invoicing processes in Quick Books
- Generate, review, and send client invoices with high accuracy
- Maintain billing schedules, payment terms, and custom fee structures
- Monitor outstanding invoices and coordinate follow‑ups
- Track incoming payments and reconcile accounts
- Manage collections and client payment communications
- Process vendor payments and expense tracking
- Maintain clean and current financial records
- Administer payroll across employees and contractors
- Coordinate onboarding and compensation setup
- Ensure payroll accuracy and compliance
- Evaluate and help implement improved payroll systems if needed
- Identify inefficiencies and recommend workflow improvements
- Maintain internal financial trackers and reporting systems
- Support leadership with financial visibility and operational insights
- Ensure consistency, organization, and documentation of processes
- Maintain contract records and payment obligations
- Track case fees, payment plans, and retainers
- Support financial preparation related to client matters
- Strong Quick Books experience (required)
- Background in financial operations, bookkeeping, or accounting
- Experience in law firms or professional services environments strongly preferred
- Exceptional attention to detail and organizational skills
- Comfortable handling sensitive financial information
- Self‑directed, reliable, and process‑driven
- Familiarity with payroll platforms (Gusto, Justworks, ADP, etc.)
- Experience managing complex or customized billing structures and financial systems
- Strong communication and follow‑through skills
- Critical thinking regarding systems and processes
- Desire to take on ownership of responsibilities and operations leadership
