POSITION OVERVIEW
Xterra Health is a fast-moving, mission-driven organization serving veterans navigating VA disability claims. We are in a period of rapid growth, and with that growth comes the need to build a finance and accounting function that can keep pace. That means bringing in a senior accounting leader who can establish the infrastructure, discipline, and processes the organization needs to scale — and who can help develop our accounting team along the way.
We have a Staff Accountant who is motivated, capable, and actively working toward CPA licensure with external mentorship. What this person needs is an experienced senior partner to work alongside them — someone who has been through this stage of organizational growth before, who can model what best practice looks like, and who takes pride in developing the people around them as much as building the systems beneath them.
This is a player‑coach position. The right person owns the accounting function — not from a distance, but hands‑on. You will be in Quick Books, building the close process, establishing controls, and producing reporting that leadership can actually rely on. KEY RESPONSIBILITIESQuick Books Administration and General Ledger
- Own Quick Books at a true administrative level: manage user roles and permissions, maintain and restructure the chart of accounts, configure transaction coding rules, oversee integrations with payroll and banking platforms, and manage the period-end close process end to end
- Build and maintain a general ledger that is audit-ready and consistently maintained going forward
- Perform and review monthly bank reconciliations across all Xterra accounts
- Serve as the internal subject matter expert on Quick Books capability, limitations, and best practice
- Identify integration gaps between Quick Books and adjacent systems and build a practical roadmap to close them
- Build and own a structured, repeatable month-end close process — one that does not depend on heroics to get done
- Deliver monthly financial reporting to the EVP and CEO: P&L, cash flow snapshot, AR/AP aging, and variance analysis with clear narrative context
- Establish a reporting cadence that leadership can rely on; flag unusual variances, cash flow concerns, and risk items proactively
- Support the annual budget process and quarterly forecast updates in coordination with the EVP
- Assess the current state of internal controls and build practical controls appropriate for Xterra's size — lean enough to move fast, rigorous enough to withstand scrutiny
- Document accounting processes and workflows so the function is repeatable and not dependent on institutional knowledge held by one person
- Establish approval workflows for AP, expense reimbursements, and payroll changes
- Serve as the primary internal liaison with external accounting advisors and at tax time
- Maintain hands‑on oversight of accounts payable, accounts receivable, invoicing, and expense administration — delegating execution while reviewing for accuracy and completeness
- Ensure payroll is processed accurately and on time in coordination with the external payroll processor and HR; own any escalations
- Oversee 1099 contractor payment tracking and year‑end preparation across a multi‑state provider network of 30+ licensed contractors
- Ensure compliance with applicable federal and state financial, tax, and payroll regulations across all active states
- Work directly alongside the Staff Accountant on a daily basis as a teacher, mentor, and senior resource
- Share the reasoning behind accounting decisions and build their understanding of what best practice looks like at each stage of the close and reporting cycle
- Establish clear expectations and regular feedback rhythms; build a development plan tied to their CPA progress
- Partner with HR on compensation structure, benefits cost administration, payroll compliance, and workforce planning
