Job Description

The Jefferson County Circuit Court in Madras, Oregon, is hiring a Jury Coordinator/Receptionist (Court Operations Associate). In this role, you will process returned jury questionnaires, excuse jurors when appropriate, answer routine questions from jurors, draw grand jury panels, prepare and send grand jury summonses, prepare the grand jury payroll, provide jury orientation to large groups using an approved script, prepare paperwork for judges and attorneys, update prerecorded phone messages and jury duty information on the webpage, prepare the courtroom, maintain the jury room, oversee coffee and meal orders for jurors.

Additionally, you will answer a high volume of phone calls and provide information to attorneys, litigants, and the public about court procedures, case status, and court calendars. You will accept documents at the front counter, check for accuracy and completeness, prepare case files, scan legal documents into the electronic case management system, make photocopies, and retrieve archived files. As the backup cashier, you will determine fees and process payments made at the counter, through the mail, and over the phone, prepare bank deposits, balance the cash drawer, and may support scheduling mediation sessions, sending hearing notices, and helping customers use public computer terminals.

Assigned tasks may be changed to accommodate workload and organizational needs.

Responsibilities

  • Draw grand jury panels, prepare and send summonses, and handle grand jury payroll.
  • Provide jury orientation to large groups.
  • Prepare legal paperwork for judges and attorneys.
  • Update contact information and jury duty webpages.
  • Prepare courtroom, maintain jury room, oversee food for jurors.
  • Answer phone calls and provide court information to the public.
  • Accept, verify, and file documents, scan into case system.
  • Manage cashier duties: fee determination, payment processing, bank deposits, cash drawer balancing.
  • Provide support for mediation scheduling, hearing notices, and computer terminal assistance.
Qualifications
  • High school diploma or equivalent.
  • At least three years of responsible experience in a moderately complex office or business setting involving processing of financial, administrative, or legal documents; or equivalent education/experience combination.
  • Ability to use various software programs to access and input information.
  • Customer service experience with diverse, high‑stress individuals.
  • Public speaking skills for addressing large groups.
  • Cash handling and receipt generation experience.

Working Conditions
  • Full‑time, 8:00 a.m. to 5:00 p.m., Monday–Friday.
  • Overtime compensation for over 40 hours per week.
  • Occasional irregular hours, evening/weekend overtime.
  • Occasional travel between Madras and Prineville.
  • Frequent phone and in‑person contact with diverse backgrounds.
  • Handling situations involving anger, hostility, or violence.
  • Exposure to potentially disturbing or hazardous exhibits.
  • Long periods of sitting or standing.
  • Use of telephone, computer, copy machine, fax machine, and scanner.
Benefits

We pay 95%–99% of medical insurance premiums for full‑time employees, including mental health coverage. 10 paid holidays, 2 floating holidays, 3 personal business days, separate sick and vacation leaves (prorated for part‑time), optional insurances, and flexible spending plans. Bilingual (ASL) allowance of 5% for those passing a skills test and assigned to use those skills. Eligible for a 5% annual increase and up to the third step of the salary range for new OJD employees.
