Summary Of DutiesIn this position, you will support the Director’s Office for Aging and People with Disabilities (APD) programs by providing essential administrative support to the Program Director, Deputy Director, Deputy Operations Director, and executive team. You will assist in management meetings, recruitment activities, agency‑wide committees, and programmatic support. Major duties include:
- Perform confidential administrative duties for the Executive Leadership in APD and act as the primary executive assistant for the Director of APD.
- Attend Management Team meetings and coordinate assistance with minutes, action items, and responsible parties. Transcribe and distribute standardized minutes and track follow‑ups.
- Schedule meetings within ODHS, OHA, and with partners. Use Outlook and Doodle polls as needed, secure meeting locations, and prepare technology (video conferencing, projectors, laptops).
- Assist in developing materials, filing, copying, organizing, ordering supplies, and distributing documents for meetings.
- Submit and coordinate background check requests via ORCHARDS.
- Serve as Wireless Watchdog Coordinator for Central Office managers and staff.
The position is full time in the Salem office for the training period, followed by a hybrid option. Some local travel may be required to attend meetings in Salem. The job requires standing periodically, occasional lifting of equipment, and regular filing.
Minimum Qualifications- One year of experience performing administrative duties in support of agency projects or programs, including data collection and analysis, project evaluation, or interpretation and application of laws, rules, and regulations.
- Experience providing proactive confidential administrative support to executive leadership, including calendar management, meeting scheduling, minute taking, and transcription.
- Experience coordinating travel and meeting technology support (video and in‑person conferencing, Teams, Zoom).
- Experience with billing, contracts, and invoicing, and assisting with signatures and authorization for program communications.
- Experience with cell phone tracking and reporting, background checks, and recruitment processes and support.
