Job Description
Position Title: Operations Support Specialist (AS2)

This full‑time, permanent, union‑represented position is located in the Information Systems Unit (ISU). The purpose of this role is to provide specialized administrative, coordination, and technical support for the procurement, implementation, and maintenance of a new case management system. The Operations Support Specialist will ensure effective project coordination, clear communication among stakeholders, organized documentation, and smooth operational support that enables the agency to meet its technological and programmatic goals.
The position may be eligible for a hybrid work schedule with weekly in‑person requirements for meetings, trainings, and other operational needs. The selected employee may work from Salem, Multnomah, or Portland BOLI office locations.
Responsibilities- Coordinate project schedules, track deliverables, and support decision‑making activities.
- Maintain and organize project documentation, ensuring compliance with legal, retention, and audit standards.
- Serve as a central point of communication among IT staff, leadership, project teams, end users, and vendors.
- Plan and coordinate project meetings, trainings, and system‑related events; evaluate training outcomes and improve processes.
- Support data governance by reviewing data quality, assisting with access permissions, and preparing summaries or reports.
- Monitor and track operational issues, document risks, and support quality‑assurance efforts.
- Provide administrative support for project operations, including invoices, supplies, travel, and other assigned tasks.
- Model professional conduct, uphold confidentiality, and promote a diverse and respectful workplace.
- Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis.
- OR an associate degree in general office occupations and two years of such experience.
- OR an equivalent combination of education and experience.
