Overview

The Bilingual Human Resources Administrative Assistant is responsible for providing exceptional customer service, answering and directing calls, and providing basic technical assistance related to all HR services, with a focus in the assigned areas of responsibility. This position works closely with all Human Resources staff to provide support in various administrative tasks and is responsible for maintaining current technical knowledge of assigned areas of responsibility to provide effective service to the college community.

Responsibilities
  • First point of contact for all areas of Human Resources, including telephone calls, email, and in person.
  • Provide quality customer service by incorporating respectful, patient, positive, and solution focused behaviors and attitudes.
  • Refer internal and external customers, job applicants, and employees to appropriate department or campus resources.
  • Responsible for the Human Resources main phone line, providing information to callers and directing them to appropriate departments.
  • Takes messages and provides general guidance regarding departmental information, policies, and procedures.
  • Handles document tracking, data entry, and maintenance, ensuring accurate routing and recommending corrections for clarity and accuracy.
  • Oversee office supply inventory by tracking stock, identifying low-quantity items, coordinating orders, and ensuring timely distribution to employees and shared office areas.
  • Oversee and streamline the Human Resources inbox and calendars, ensuring efficient triage, clear organization, and proactive scheduling support.
  • Use College systems to process, organize, and enter official copies of college/university degrees and transcripts for Human Resources.
  • Assist departments within Human Resources with special projects as requested and provide direct support to the Human Resources Administrative Coordinator.
  • Maintain electronic files and associated records, ensuring the ongoing security of current information.
  • Provide essential administrative support including copying, scanning, filing, and general office tasks, while preparing meeting materials, event flyers, and handouts to ensure smooth and well-organized meetings and events.
  • Schedule meetings, conferences, and appointments for the Human Resources Conference Room.
  • Provide actionable feedback to drive process improvements and support the creation and maintenance of process documentation, training materials, and how-to guides.
  • Apply internal policies, procedures, guidelines, and applicable Federal, State, and Local laws, rules, and regulations when responding to inquiries and making recommendations for actions.

Minimum Qualifications
  • Two (2) years of full-time work experience that reflects the knowledge, skills, and experience to perform the essential functions listed above.

  • Associate’s Degree in Business Administration, HR Management, Office Administration, Communications, or a related field.
  • -- AND --
  • Bilingual (English & Spanish).

  • Ability to maintain current knowledge of computerized recordkeeping system(s).
