Job DescriptionThe Oregon Department of Justice (DOJ) – Crime Victim and Survivor Services Division (CVSSD) is seeking a customer service focused individual to serve as the in‑office receptionist in the Support Services Section. The Section includes the Reception Desk, the Address Confidentiality Program (ACP), and the Hope Card Program, which provide confidential post office boxes and identification cards for victims of domestic violence, sexual assault, stalking, and human trafficking.
Dutiesand Responsibilities
- Serve as the CVSSD in‑office receptionist, handling telephone calls and in‑person visits, providing basic information about the division’s services, and referring calls to appropriate staff.
- Receive and direct visitors to the correct staff members.
- Answer multi‑line telephone calls, directing callers to the appropriate person regarding program information, inquiries, or official agency requests.
- Maintain current knowledge of staff assignments and major program changes to ensure accurate routing of requests from callers and walk‑in clients.
- Process and scan daily mail (e.g., medical assessments, police and DHS reports, bills, and chart notes) and file to the appropriate claim.
- Use the Claim Management System (CMS) to retrieve claim numbers for mail routing.
- Handle all faxes and emails received by CVSSD, routing them to appropriate staff or claim.
- Save documents into Alfresco after verifying priority status.
- Assist with purchases through Oregon Buys and arrange lodging and rental‑car reservations using the division’s Spots card.
- Provide ACP support, publication shipping, documentation, threat tracking, and assistance with special projects and other duties as assigned.
Special Requirements
- One year of general clerical experience that includes keyboarding, word processing, or other document‑generation experience; or an equivalent combination of experience and college coursework or training in a general office occupation.
- Bilingual proficiency in Spanish.
- Effective use of databases.
- Proficiency with Microsoft Office Suite.
- Strong customer service skills.
- Ability to recognize a crisis situation.
- Strong written and verbal communication skills.
- Attention to detail.
- Ability to maintain confidentiality.
- Ability to work and interact with diverse people.
