The Office Manager oversees the daily operations of the practice, ensuring efficient patient scheduling, billing, and staff coordination. This role manages administrative functions, supports team performance, and upholds a high standard of patient care and service. The Office Manager is essential in creating a smooth, organized, and welcoming environment for both patients and staff.
Your responsibilities will include:- Ensure all daily practice operations reflect the organization’s mission, values, and commitment to patient-centered care.
- Oversee and resolve insurance, financial, and scheduling issues on a daily basis to maintain a seamless patient experience.
- Monitor and manage patient flow and staff productivity to support clinical operations and practice goals.
- Maintain and manage the master calendar for all practice locations.
- Coordinate daily schedules, emergency patient needs, and monthly provider rotations.
- Communicate schedule changes promptly to all affected team members.
- Monitor staff workloads and daily task performance.
- Hold team members accountable while coaching and developing them toward high performance.
- Administer progressive discipline in collaboration with Human Resources.
- Minimum of 2-3 years of office management experience, preferably in a dental or healthcare setting.
- Strong leadership skills with demonstrated ability to motivate and manage teams.
- Knowledge of dental office procedures, insurance processes, and scheduling systems.
- Experience with financial reporting and dental practice management software (e.g., WinOMS Cloud).
- Excellent communication, organizational, and problem-solving skills.
- Ability to multitask in a fast-paced environment while maintaining composure under pressure.
