We are partnering with an established mental health counseling practice in Salem that is passionate about creating a welcoming, supportive environment where clients feel heard, respected, and cared for. This practice works with clients ages 4 and up and provides individual, group, and family counseling. Their philosophy is centered around inclusivity, dignity, respect, and making quality mental health care accessible to the people and families they serve.
You will be joining a collaborative team of approximately 20 employees total including interns, therapists, and administrative professionals who genuinely care about their clients and each other. This is a team that celebrates birthdays, enjoys employee retreats and dinners throughout the year, and works closely together to create a positive environment. You will also work alongside an involved and supportive owner who truly cares about the team and the work they do.
You'll Do:
As the Intake Assistant, you will often be one of the first people a new or existing client interacts with. We are looking for someone who is warm, organized, professional, compassionate, and comfortable helping people navigate the beginning stages of receiving mental health services.
- Answer incoming phone calls and assist clients with questions
- Complete initial client screenings and intake processes
- Respond to emails and client inquiries
- Assist clients with forms, paperwork, and required documentation
- Maintain accurate files and administrative records
- Keep the waiting room welcoming, organized, and stocked
- Monitor office supplies and make sure the team has what they need
- Communicate with vendors when necessary
- Support therapists, interns, administrative staff, and leadership
- Assist with additional administrative responsibilities as needed

- At least 3 years of experience within mental health or behavioral health OR a Bachelor's degree in Psychology, Childhood Development, or a related field
- Strong communication and customer service skills
- Compassion and professionalism when interacting with clients and families
- Ability to handle sensitive and confidential information appropriately
- Strong organizational skills and attention to detail
- Experience with Microsoft Outlook and Excel
- Experience working with healthcare software is a plus
- DSP experience is a bonus
- Ability to work successfully within a collaborative team environment
