Grants Technician

The Grants Technician will perform assigned duties related to the implementation, enforcement and accuracy of procedures involved in grant management. The person in this position will maintain accurate accounting, tracking, reporting, and responsibility for the operations of grant administration and related accounting duties.

Minimum Qualifications

The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and/or Experience
  • Associate's Degree in Accounting, or two or more years of general clerical accounting experience.
  • Coursework in business, accounting, bookkeeping or related field highly preferred.
  • Equivalent combination of education and experience may be considered.
Certificates, Licenses, Registrations
  • Driver qualification status is not required for this position.
  • Candidate must pass a comprehensive MWVCAA background screening prior to employment.
  • Successful registration with the Central Background Registry of the Child Care Division.
  • Candidate must pass pre-employment and random drug/alcohol screenings.
Knowledge,

Skills and Abilities
  • Knowledge of and proficiency with accounting software platforms preferred.
  • Ability to communicate effectively and accurately follow instructions in both oral and written form.
  • Demonstrated proficiency in Microsoft Office (including Teams and Outlook) and database software.
  • Demonstrated proficiency in non-profit finances or grants administration preferred.
Essential Duties and Responsibilities

This job description is not intended to be all-inclusive. Employee will also perform other reasonably related business duties as assigned by the immediate supervisor and other management as required.

  • Assists with the preparation, recording, and review of all agency grant agreements and contracts for basic compliance components.
  • Completes initial drafts of invoices for grant payments/reimbursements.
  • Prepares drafts of accurate and timely financial reports, conducts basic grant research and analysis to support the Grants team.
  • Prepares draft versions of monthly, quarterly, and annual financial reports in accordance with grant guidelines and established schedules.
  • Meets with Program Directors to ensure proper tracking and adherence to budgets as they relate to financial statements.
  • Helps to ensure that reports are accurate and expenses are coded to the correct grant/contract, that documentation is adequate and all fiscal and grant guidelines are met.
  • Prepares and submits timely Agency requests for reimbursement to assure optimum level of cash is available.
  • Responds to inquiries from funders and staff by email, via Teams, in person and over the phone.
  • Assists auditors with obtaining documentation and answering questions.
  • Supports the Grants Specialists in preparation of the annual budget for all grants. Recommends periodic budget projections to assure budget limitations are adhered to.
  • Establishes and maintains cooperative relationships with both internal colleagues and external agency contacts.
  • Continuous professional development in the areas of grants management, financial record keeping, and accounting principles and practices.
