Your role with us

As a surgery scheduler, you’ll play a vital role in ensuring a smooth, stress-free experience for patients preparing for surgery or procedures. From the moment a procedure is ordered to the final pre-operative clearance, you’ll be the expert behind the scenes coordinating, communicating, and caring. You’ll work closely with physicians, hospital teams, and patients to manage every logistical detail, making sure surgeries happen efficiently, on time, and with all necessary clearances and authorizations in place.

If you thrive in a fast-paced medical office, love solving problems, and enjoy being the person who brings calm, this is the role for you. Your work directly supports better patient outcomes and a better experience for everyone involved.

What you'll do
  • Schedule surgeries, procedures, and diagnostic testing across departments, making sure everything aligns with hospital policies and physician preferences.
  • Coordinate with providers, hospital staff, and surgical teams to arrange surgical assistants, co-surgeons, and block time usage.
  • Guide patients through the pre-op process by answering questions, providing instructions, and preparing them for what to expect.
  • Secure insurance pre-authorizations and ensure estimates are shared with patients in accordance with the No Surprises Act.
  • Monitor and communicate delays, changes, or cancellations with physicians, hospital schedulers, and medical assistants.
  • Ensure all necessary labs, imaging, and clearances are completed and sent to the correct locations prior to surgery.
  • Greet and check out patients, collect co-pays and balances, and maintain accurate records while protecting patient confidentiality.
  • Triage incoming calls and requests, routing messages appropriately and escalating urgent issues as needed.
  • Assist with front-office responsibilities as needed, including paperwork, scheduling follow-up appointments, and supporting a positive patient flow.
Required qualifications
  • High School Diploma or equivalent.
  • 2 years of medical office experience.
  • 1 year of EMR experience.
Additional information
  • Strong problem solving and interpersonal skills.
  • Must have the ability to act tactfully and courteously in stressful situations.
  • Must have the ability to appropriately handle a variety of problems and situations, sometimes of a critical and urgent nature.
  • A thorough understanding of insurances which includes medical policies and authorization process strongly preferred.
