Position Overview

The role is Customer Service Representative/Inside Sales 3, located in Salem, Oregon. The CSR/Inside Sales Representative sells products and services for prospective and established customers via phone, email, fax, and face‑to‑face interactions. The CSR is responsible for identifying customer needs, providing solutions, and ensuring a smooth and quick sales process while being knowledgeable of company policies, procedures, practices, products, and services.

Responsibilities
  • Help the division deliver on sales targets by maintaining accounts through active communication of new product launches, services, supplies, and discounts via outbound calls.
  • Provide excellent customer service through face‑to‑face, phone calls, and e‑mails.
  • Execute all aspects of the sales function, including order processing, purchase orders, payment processing, quotes, and delivery dates, ensuring accuracy of entered information.
  • Recommend alternate products based on cost, availability, or specifications as needed.
  • Obtain and monitor scheduled shipment dates to ensure timely delivery and expedite as needed, coordinating with manufacturing, sales, distribution, and vendors.
  • Generate new and repeat sales by providing product and technical information promptly.
  • Educate customers about product terminology, features, and benefits to improve sales and satisfaction.
  • Provide accurate information regarding the availability of in‑stock items.
  • Assist customers with warranties and returns.
  • Collaborate with the Branch Manager to determine best methods for resolving problems, ensuring customer satisfaction and adherence to policies, and coordinating problem resolution with appropriate departments.
  • Train new customer service/inside sales representatives.
  • Periodically reach out to customers to determine satisfaction with the organization, products, and services.
  • Maintain records and prepare reports on sales activities.
  • Expand knowledge of HVAC products and stay current with industry trends.
  • Work positively with all levels of management and peers to keep all departments aligned and functioning effectively to deliver the highest level of service.
  • Understand and follow work instructions, operating procedures, and company policies.
  • Participate in additional projects and activities to support ongoing business needs.
Knowledge & Skills
  • Extensive knowledge of HVAC equipment and products.
  • General Microsoft Office skills (Outlook, Excel, Word) and working knowledge of database applications.
  • Effective customer service and relationship‑management skills via walk‑ins, phone, and e‑mail.
  • Positive, professional attitude; ability to diffuse negative situations with difficult customers.
  • Good phone etiquette and e‑mail etiquette.
  • Ability to handle high‑volume customer traffic.
  • Effective verbal skills to explain technical information clearly.
  • Strong written communication skills for timely e‑mail correspondence and accurate order entry.
  • Organizational and time‑management skills, including prioritizing and multitasking.
  • High level of attention to detail and accuracy.
  • Ability to establish positive working relationships with internal and external customers and employees.
  • Judgment, work ethic, and integrity on the job.
  • Understanding of and compliance with procedures, work instructions, and company policies.
Experience
  • 6+ years of progressive sales experience.
  • 5+ years in the HVAC industry.
Education & Certification

High school diploma or GED equivalent, some college preferred. HVAC certification preferred.
