Admin/Compensation Assistant - Crime Victim and Survivor Services Division
The Oregon Department of Justice (DOJ) – Crime Victims and Survivor Services Division (CVSSD) is seeking a customer‑service focused individual to join the Compensation Section as an Admin/Compensation Assistant (Office Specialist
2). The Compensation Section administers the Crime Victims’ Compensation (CVC) program, processing over 7,000 new claims each year to ease the financial impact of violent crime on victims, survivors, and their families.
- Check E‑Courts for all CVC applications and update case information in the Claims Management System (CMS) when a case is found.
- Follow up on pre‑determined claims to ensure law enforcement and medical assessment reports have been received; if reports are missing, send requests for the required documents.
- Follow up on received bills to verify that explanation of benefits and chart notes have been supplied; send additional requests as needed if information is still missing.
- Enter Sexual Assault Victims’ Emergency (SAVE) applications.
- Respond to phone calls inquiring about the CVC program.
- Support the public in using the CVC portal, including troubleshooting application and document submission, assisting with claims, and granting or denying access according to written policy.
- Provide administrative support to the CVSSD Director and management team, including scheduling, coordinating special travel arrangements, processing reimbursements for external partner training events, and supporting charitable drive initiatives.
- Support CVSSD external partner meetings through scheduling, communications, and minutes.
- Back up the receptionist by processing and saving mail to Alfresco.
- Back up CVC application entry duties.
- Perform other duties as assigned.
- Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents.
- Or an associate degree in any field.
- Or an equivalent combination of education and experience.
- Strong customer service background.
- Evidence of self‑motivation, attention to detail, ability to prioritize a complex workflow, and manage competing deadlines without prompts.
- Ability to maintain confidentiality.
- Proficient in professional written and verbal communication skills at all levels of agency and public.
- Experience with minute taking.
- Proficient in computer use, including databases and Microsoft Suite.
- Knowledge of basic victimization reactions.
- English/Spanish bilingual is a plus.
