The Role:
As a Senior Sales Support Specialist, you will own the commercial and operational flow from purchase order intake through booking and warehouse release. You will ensure orders are complete, accurate, compliant, and ready for execution while working closely with partners and teams across Sales, Finance, Purchasing, Production, Operations, and Logistics.
This is more than an order-processing role. You will bring clarity to complex orders, identify risks early, resolve exceptions, and protect booking and delivery commitments. As a senior member of the team, you will also support colleagues, improve established processes, and adopt automation and AI-enabled tools where they can increase speed, accuracy, and partner experience.
Key Tasks and Responsibilities:
Order Intake and BookingOwn sales orders from purchase order receipt through validation, booking, and warehouse release.
Review purchase orders, quotations, commercial terms, delivery requirements, and supporting documentation.
Create and maintain accurate orders and records across ERP, CRM, and related systems.
Complete bookings within agreed service levels and applicable commercial, financial, operational, and compliance requirements.
Identify and resolve discrepancies, missing information, booking risks, order changes, cancellations, and exceptions.
Maintain accurate order status, documentation, data quality, and audit trails.
Serve as a trusted contact for partners, Sales teams, and internal stakeholders throughout the booking process.
Guide partners on purchase-order requirements, documentation, delivery readiness, and next steps.
Communicate risks, dependencies, decisions, and required actions clearly and proactively.
Coordinate with Finance, Purchasing, Production, Operations, and Logistics to move orders efficiently into execution.
Support purchasing activities, logistics handoffs, delivery planning, and invoicing.
Bring the right teams together when ownership or dependencies are unclear.
Use operational data to identify delays, recurring discrepancies, rework, and process bottlenecks.
Recommend practical improvements that simplify work, improve accuracy, and accelerate booking.
Contribute to process standardization, system enhancements, automation, and continuous-improvement initiatives.
Use AI-enabled tools responsibly to support activities such as case summarization, knowledge retrieval, risk identification, and data-quality checks.
Look beyond individual transactions to identify patterns, address root causes, and turn improvements into repeatable processes and shared knowledge.
Take ownership of complex, high-value, or time-sensitive orders and critical exceptions.
Serve as a subject-matter resource for booking processes, systems, and commercial requirements.
