Purpose Statement
The job of Bookkeeper II is done for the purpose/s of providing an array of fiscal services for the student body activities; conveying and updating fiscal information; and ensuring that fiscal practices are followed and disbursement of funds are within proper and legal guidelines.
Essential Functions- Collects funds from students (e.g. lost text books, ticket sales, yearbook purchases, athletic equipment distribution, etc.) for the purpose of ensuring receipt of revenues, accuracy and timely completion of transactions.
- Disburses funds for authorized events and activities (e.g. concessions, entry fees, student athlete travel, club supplies, etc.) for the purpose of ensuring payment in compliance with district and state requirements.
- Implements reporting procedures and internal controls for the purpose of maintaining accurate records and complying with the record keeping, district policies and/or other regulatory requirement.
- Informs student advisors, students, vendors, etc. regarding required documentation and/or procedures for the purpose of conveying information necessary to complete transactions.
- Maintains a variety of fiscal information, files and records (e.g. accounts payable, accounts receivable, student activities, contracts, etc.) for the purpose of providing an up-to-date reference and audit trail.
- Monitors account balances and related financial activity for the purpose of ensuring that allocations are accurate, related revenues are generated, expenses are within budget limits and/or fiscal practices are followed.
- Monitors student enrollment status (e.g. creating and/or collecting student IDs; clearing lockers for withdrawn students, etc.) for the purpose of ensuring eligibility for student events and activities.
- Prepares a variety of financial reports and statements (e.g. account status by club; activity ticket revenue, student fees, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
- Prepares cash deposits from school activities for the purpose of ensuring availability of revenues to cover expenses.
- Processes District mail including transporting to U.S. Post Office for the purpose of ensuring mail delivery to addressee.
- Reconciles account balances for the purpose of maintaining accurate account balances and complying with related policies, practices and/or regulations.
- Researches discrepancies of financial information and/or documentation for the purpose of ensuring accuracy and adhering to procedures prior to processing for action.
- Supports assigned building administrator(s) for the purpose of providing general clerical support in the completion of their work assignments.
- Assists other personnel for the purpose of supporting them in the completion of their work activities.
Minimum Qualifications
Skills, Knowledge and AbilitiesSKILLS are required to perform single, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment including utilizing pertinent software applications; and performing bookkeeping/accounting procedures.
KNOWLEDGE is required to perform algebra and/or geometry; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. ABILITY is required to schedule activities and/or meetings; routinely gather, collate, and/or classify data; and use basic, job-related equipment.
