Bookkeeper II Purpose
The job of Bookkeeper II is performed to provide an array of fiscal services for the student body activities; to convey and update fiscal information; and to ensure that fiscal practices are followed and disbursement of funds are within proper and legal guidelines.
Essential Functions- Collect funds from students (e.g., lost textbooks, ticket sales, yearbook purchases, athletic equipment distribution, etc.) to ensure receipt of revenues, accuracy and timely completion of transactions.
- Disburse funds for authorized events and activities (e.g., concessions, entry fees, student athlete travel, club supplies, etc.) to ensure payment in compliance with district and state requirements.
- Implement reporting procedures and internal controls to maintain accurate records and comply with record‑keeping, district policies and regulatory requirements.
- Inform student advisors, students, vendors, etc. regarding required documentation and/or procedures for the purpose of conveying necessary information for transactions.
- Maintain fiscal information, files and records (e.g., accounts payable, accounts receivable, student activities, contracts, etc.) to provide an up‑to‑date reference and audit trail.
- Monitor account balances and related financial activity to ensure that allocations are accurate, revenues are generated, expenses are within budget limits and fiscal practices are followed.
- Monitor student enrollment status (e.g., creating and/or collecting student IDs; clearing lockers for withdrawn students, etc.) to ensure eligibility for student events and activities.
- Prepare financial reports and statements (e.g., account status by club; activity ticket revenue, student fees, etc.) to document activities, provide written reference and/or convey information.
- Prepare cash deposits from school activities to ensure availability of revenues to cover expenses.
- Process district mail and transport to U.S. Post Office to ensure delivery to addressee.
- Reconcile account balances to maintain accurate balances and comply with related policies and regulations.
- Research discrepancies in financial information and/or documentation to ensure accuracy and adhere to procedures before processing for action.
- Support assigned building administrators by providing general clerical support.
- Assist other personnel to support them in the completion of their work activities.
Skills, Knowledge and Abilities
Skills:
Operate standard office equipment and utilize pertinent software applications; perform bookkeeping/accounting procedures.
Knowledge:
Understand accounting principles; read manuals; write documents following prescribed formats; solve practical problems.
Abilities:
Schedule activities and/or meetings; gather, collate, and classify data; use basic job‑related equipment; work flexibly with others; maintain confidentiality; meet deadlines; set priorities; work with detailed information.
Work under limited supervision following standardized practices; provide information and/or advise others; direct the use of budgeted funds within a work unit; utilize resources from other units as needed.
Working EnvironmentPhysical demands include some lifting, carrying, pushing, and pulling; require fine finger dexterity. The job is 80% sitting, 10% walking, and 10% standing. The environment is generally hazard‑free.
ExperienceJob‑related experience is required.
EducationHigh school diploma or equivalent.
Pay RateClassified Salary Schedule Range 16. Beginning pay rate: $17.35 – $18.45 per hour.
