General DescriptionThe Human Resources Coordinator provides exceptional customer service and administrative support to employees and management while ensuring compliance with company policies and employment regulations. This hands‑on role is responsible for attendance administration, I‑9 compliance, onboarding, employment verifications, unemployment claims, disability notices, HRIS data management, meal period compliance, employee status changes, termination processing, hourly recruitment support, and employee relations activities. The HR Coordinator plays a key role in maintaining accurate employee records, supporting workforce operations, maintaining compliance, and delivering efficient HR services across the facility.
MajorResponsibilities and Tasks / Duties
- Process employee absence requests and maintain appropriate documentation.
- Administer sick leave balances and enter sick time transactions into Workforce (WF).
- Assist with processing employee separations and terminations, including preparing documentation, coordinating exit procedures, processing system updates, collecting company property, and ensuring compliance with company policies and applicable employment laws.
- Ensure compliance with all Form I‑9 requirements, including audits and re‑verifications.
- Complete employment verification requests while maintaining confidentiality.
- Process and maintain employee information within EV6, ADP, and other HR systems.
- Coordinate and facilitate new hire orientations and onboarding activities.
- Assist with recruitment activities for hourly positions, including posting job openings, screening applicants, scheduling interviews, coordinating hiring manager communications, conducting reference checks, facilitating pre‑employment processes, and supporting onboarding activities to ensure timely staffing of open positions.
- Process employee status changes including transfers, promotions, demotions, wage changes, department changes, and shift changes.
- Administer and track corrective actions, disciplinary documentation, and attendance‑related counseling records.
- Respond to and manage EDD unemployment claims, gather documentation, and prepare responses.
- Process State Disability Insurance (SDI) notices and support employees through the process.
- Monitor, investigate, document, and report meal period violations.
- Maintain personnel files, I‑9 records, and HR documentation in an audit‑ready condition.
- Conduct routine audits of HR records, personnel files, attendance records, I‑9s, and HRIS data to ensure compliance and accuracy.
- Manage incoming and outgoing department mail and HR correspondence.
- Prepare workforce reports and analytics related to attendance, headcount, turnover, and recruitment.
- Provide daily headcount reporting to management.
- Respond to employee inquiries and provide first‑class customer service.
- Support employee engagement, recognition programs, and HR initiatives.
- Assist with audits, compliance activities, special projects, and other duties as assigned.
- 1–2 years in a Human Resources administrative position required; preferably in a manufacturing plant environment.
- Demonstrated ability to handle highly confidential and sensitive employee information with the utmost discretion, professionalism, and integrity.
- Proficiency in Microsoft Office, time‑keeping systems, and HRIS.
- Ability to work in a high‑paced office environment.
- High level of discretion and excellent judgement.
- Detail‑oriented with execution of employee requests, auditing, file management, and performing data entry.
- High level of initiative with task completion and ability to propose process improvements.
