Construction Safety Administrative Assistant
The Construction Safety Administrative Assistant provides administrative support to the Safety Department by maintaining records, coordinating training, assisting with safety compliance activities, managing purchasing processes, and supporting departmental programs and events. This role helps ensure the efficient operation of safety initiatives and accurate documentation across the organization.
Responsibilities Administrative Support- Provide day-to-day administrative support to the Safety Department.
- Prepare agendas and take meeting minutes for safety meetings.
- Maintain and organize safety records, employee files, training documentation, and compliance-related paperwork.
- Create, update, order, and distribute safety forms, labels, signs, and other department materials.
- Process purchase orders, receipts, and related documentation.
- Request quotes and assist with sourcing safety equipment and supplies.
- Coordinate ordering, tracking, and inventory replenishment of safety materials and equipment.
- Schedule and coordinate employee safety training programs.
- Maintain employee certifications, qualifications, and training records in company systems.
- Track expiration dates and ensure records remain current.
- Assist with injury and incident documentation and recordkeeping.
- Prepare and maintain required safety and return-to-work forms.
- Track safety certifications, inspections, and compliance documentation.
- Manage tracking and recordkeeping for safety equipment, including AEDs, fall protection equipment, and certifications.
- Support safety technology platforms and reporting processes.
- Assist with Safety Week, safety committee activities, and other department events.
- Coordinate department logistics, including meeting arrangements and team events.
- 2+ years of administrative or documentation experience, preferably in construction, safety, or a related field.
- Strong organizational, communication, and multitasking skills.
- Ability to maintain accurate records and handle confidential information.
