Student Life Administrative Services Specialist (PT)
Position SummaryThe Administrative Services Specialist provides comprehensive administrative, fiscal, and operational support to the Department of Student Life. This position supports the Director of Adult Learner & Student Engagement, professional staff, and student workers by coordinating daily office operations, assisting with budgeting and vendor processes, maintaining records, and supporting student engagement initiatives. The role is essential to ensuring the efficient delivery of student life programs, student leadership and governance activities, and services that support student success.
RequiredEducation and Experience
- Four (4) years of administrative support experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job
Education and Experience
- Associate degree in Business Administration, Office Management or related field.
- Technological knowledge.
- Proficient with Microsoft Office Suite.
- Ability to multi-task and prioritize fluidly in changing environments.
Student Life & Leadership
Work HoursThis position is part-time, scheduled Monday through Friday. Weekly hours may vary but cannot exceed an average of 30 hours per week.
Responsibilities- Provide administrative support to the Department of Student Life, including preparing correspondence and maintaining departmental files.
- Maintain confidential records related to student participation, student workers, budgets, and program operations.
- Assist with logistics for student programming, including room reservations, catering requests, equipment needs, and event documentation.
- Support student clubs and advisors by assisting with purchasing and travel processes.
- Assist with departmental budget management, including tracking expenditures, processing purchase requisitions, and maintaining budget documentation.
- Serve as a liaison for vendor relationships, assisting with contracts and invoices.
- Maintain accurate records of student engagement, event participation, and program activities.
- Assist with data collection and reporting to support assessment of student engagement and learning outcomes.
- Prepare routine reports, spreadsheets, and summaries for departmental leadership.
- Other duties as assigned
